Description

Dual purpose/dual reporting role that: 

a) provides sales coordination, phone and administrative support to the Boston sales office and other account managers as assigned.  

b) Completes document and asset management as well as overall program development in all areas of product specification and sustainability for Marketing.

• Supervisor for Sales:   Director, Business Development

• Supervisor for Marketing: Director, Marketing Innovation & Sustainability


Accountabilities and Responsibilities (Sales)

• Assist with sales orders, order entry, order follow-up and customer notification of changes and customer confirmations as needed, claims, collections, and consignment closure.

• Coordination of COS and Phyto documents for Canadian shipments.

• Manage I-Trade, ADX and other similar platforms used by customers to process transactions. Accuracy a must for loading and shipping orders and pricing.

• Process daily orders and maintain inventory levels for Trader Joes. 

• Office administrative support for Boston office.  This includes ordering and maintaining office supplies, managing office equipment maintenance, handling mail and shipping, and maintaining a neat, professional work environment. 

• Update and maintain Ad and Promo File.

• Telephone reception and communications.

• Other duties as assigned from time to time.


Accountabilities and Responsibilities (Marketing)

• Enter and compile data in Specright (Spec Management), assist with data requests, and perform New Item Setup as necessary. 

• Coordinate, track and maintain regulatory documents and information, including Sustainability initiatives, Organic Certificates, SOPs etc. 

• Responsible for compliance of Date / Lot Coding, Labels, Case / PTI Labels and more for customers and private label clients.

• Work with the Director to help organize, monitor and execute Naturipe’s Sustainability Initiatives.

• Coordinate season startups through planning and tracking the needs of SBUs, customers, and private labels. Work closely with Product Management and Owners to implement the Domestic and Import Pack Plans.

• Complete the Specification Management Foundations Course training:

o Specifications 101 - Covering Specs, who needs them, and Spec Management today.

o Value of Spec-First Approach - Deploying Spec Management effectively and the benefits it provides.

o Specification Templates - Find out how templates drive data standardization and make it easier and faster to get actionable insights from your supply chain data.

Quantitative Data/Job Dimensions 

• Order entry 4,500 + orders per year

• Order manifests - 4,500 + per year orders

• Coordinates up to four account manager’s phone calls


Requirements

• Associates (2 year) degree preferred.

• 3 years plus experience in an office or produce environment.  

• Must be proficient with Microsoft Windows and Office; Regular use of Microsoft Word, Excel and Power Point required.

• Excellent verbal and written communication skills. 

• Requires interpersonal skills and phone etiquette. 

• Ability to work independently and thrive in a cooperative team environment. 

• Ability to work in a professional, confident manner.

• Ability to accept responsibility and make competent decisions independently.   

• Enjoy a fast-paced environment. 

• Experience with SAP a plus.  Experience with Specright a plus. 

• Bilingual (Spanish) a plus.  Knowledge of produce industry a plus. 

• Microsoft, Salesforce, and general database management programs aptitude is highly encouraged.

• Demonstrated skill in information maintenance and management, particularly in relation to tracking multiple records.
