Summary/objective

DBA’s Executive Assistant is a highly skilled and experienced professional who provides essential support to our Heads of HR and Finance. This role plays a vital role in helping achieve the company’s goals through improving the efficiency and effectiveness of the Executives’ offices. As a key member of the DBA team, these contributions are invaluable. 


Essential Functions

· Complete a broad variety of administrative tasks for the Heads of HR and Finance including managing an active calendar of appointments; arranging detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

· Provide leadership to build relationships crucial to the success of the organization and manage a variety of special projects for the Executives.

· Successfully complete critical aspects of deliverables with a hands-on approach, including correspondence and other tasks that facilitate the Executives’ ability to effectively lead the company.

· Prioritize conflicting needs, handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.

· Assist with travel arrangements, lodging, and meal planning as needed.

· Assist in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings.

· Direct incoming calls and act as an information resource and host to clients and guests.

· Coordinate and execute special company events.

· Complete special projects and miscellaneous tasks as needed.

Required Experience:

· 1-2 years of experience as an Executive Assistant 

· Advanced MS Outlook and Excel skills

· Exceptional calendar management and scheduling skills

· Superior communication, writing and verbal skills with an ability to counsel top executive management.

· Strong interpersonal skills, ability to work in a team environment.

· Proactive, detail-oriented, and extremely organized.

· Adherent to deadlines and follow-through.

· Digitally savvy, extremely hard-working, problem-solving and culturally aware.


Preferred Experience:

· Previous experience in HR or Finance.

· Working knowledge of Microsoft Office, Box, Google Suite, Zoom, Mac, Outlook, Slack, and other relevant tools and technology.
