Executive Administrative Assistant

Executive Administrative Assistant are key players in the support structure, providing assistance to executives. They manage complex schedules, prepare for meetings, and may even assist in business tasks to ensure the executive’s day runs smoothly.

KDM is searching for an Executive Administrative Assistant to support our executive team. This is a part time, 20 hrs per week, flexible 3 days a week (Tuesday must be in office) position. 

Responsibilities

  • · Calendar Management: Coordinate the executive's professional calendar, including scheduling work meetings, and business tasks.
  • · Communication Handling: Manage professional emails and calls, ensuring effective & efficient communication flow.
  • · Meeting Preparation and Follow-up: Organize materials for business meetings and appointments, ensuring timely follow-ups.
  • · Document Records Management: Handle important business documents such as bills, legal documents, etc.
  • · Business Errands: Assist with professional tasks such as booking travel, organizing documents, etc.
  • · Confidentiality Maintenance: Exercise discretion in handling all professional information.
  • · Stakeholder Liaison: Act as a liaison between the executive and professional contacts.

MINIMUM QUALIFICATIONS:

  • Must have 7+ years of      administrative experience, preferably in a fast-paced environment
  • 2+ years of Executive Administration  Experionce supporting mid to senior-level executives
  • Bachelor’s degree preferred.
  • Experience in handling complex schedules, including managing travel and meetings
  • Must have a high  degree of accuracy and attention to detail.
  • Must possess excellent  organizational, verbal, and written communication and interpersonal      skills, plus possess exemplary writing, language, grammar and proofreading  skills.
  • Able to exhibit a high  level of confidentiality.
  • Ability to prioritize,  coordinate, multi-task, and demonstrate initiative.
  • Must possess software kills including proficiency in Windows, MS Office, Excel, PowerPoint.

Additional Requirements: 

  • · Must be willing to comply with all pre-employment screening, including but not limited to, drug testing, reference verification, education and employment verification, and background screening 
  • · Must be legally authorized to work in the U.S. 
  • · Possess a valid Driver’s License
  • · Tuesday, core in-office day
