Status & Classification:    Regular | Part-Time | Non-Exempt


Payrate:    $19.50 ~ $21.25/hour (depending on experience)


Work Schedule:    Monday/Wednesday/Friday, 9am ~ 5pm | Tue/Thu/Sat/Sun as needed* | < 30 hours/week

*This position must accommodate a flexible work schedule including occasional off-site travel, evenings, holidays, weekends, and special events.

Summary

The Corporate Events Sales Assistant is responsible for helping the Corporate Events Sales Manager with timely, thorough, and positive customer service for our Corporate Events clients. This position also provides general administrative and office management support for the Corporate Events team. The Corporate Events Sales Assistant is a member of the Corporate Events department and reports directly to the Corporate Events Sales Manager. They work closely with the Director of Corporate Sales & Events, Corporate Events Coordinators, and other inter-departmental teams including Education, Visitor Services, Marketing, and Development.

Founded in 1994 on the former Lowry Air Force Base, Wings Over the Rockies is a non-profit community organization dedicated to unlocking dreams of flight through exhibits, local events, and educational programming. We are Colorado’s premier Air & Space Museum having been recognized by CNN Travel as one of their 20 Best aviation museums in the world. Each year we welcome roughly 160,000 visitors representing all 50 states and dozens of countries internationally. Wings is committed to diversity, inclusion, and accessibility. Exploration of Flight (EoF) is our flight-focused educational extension. This 15-acre campus is located at the Centennial Airport where we offer showcase events with a variety of aircraft, aviation immersion programs, pilot ground training, and flight experiences. EoF is home to our Blue Sky Gallery exhibit and interactive aviation center featuring an airworthy fleet of civilian and military aircraft.

Essential Duties & Responsibilities

  • Assist the Corporate Events Sales Manager in responding to online, email, and phone leads for both Wings locations
  • Manage the Corporate Events group voicemail and shared email inbox 
  • Conduct initial site visits with potential clients at both Wings Over the Rockies locations 
  • Generate new leads and perform outbound sales duties via cold calls and emails 
  • Administrative duties include data tracking, contact management, inventory, file organization, and document creation 
  • Follow-up with existing clients to promote Wings Museum and encourage repeat events 
  • Assist the Corporate Events Coordinators with the creation of event documents, event walkthroughs, and floorplans 
  • Provide on-site facilitation during day-of event setup and take-down as needed 
  • Assist with the planning and facilitation of Wings-sponsored events such as Hauntings in the Hangar, Santa in the Hangar, etc.
  • Utilize event planning and scheduling software such as Tripleseat and Social Tables
  • Track, receive, and collect event deposits and payments 

Working Conditions

Wings Over the Rockies Air & Space Museum operates within an 80-year-old aircraft hangar. Exploration of Flight is located at a busy regional airport. Environmental conditions may vary.

Requirements
  • High school diploma or GED equivalent
  • 4-year Bachelors degree in hospitality, business, or communication is highly preferred 
  • Minimum of six (6) months sales and/or office admin experience
  • Working knowledge of Altru (Blackbaud) is highly desirable
  • Prior event planning experience (preferred)
  • Exemplary customer service abilities
  • Able to navigate 100,000 sq. ft. of floor space in all (cold/hot/humid/dry) conditions for up to 4 hours
  • Must be able to push, pull, squat, and lift 50+ lbs.
  • Able to multi-task and communicate effectively in noisy, crowded, or stressful environments
  • Highly self-motivated and capable of working autonomously 
  • Exceptional organizational abilities and time management skills
  • Strong interpersonal communicator; must be a team player able to work with diverse groups and individuals 
  • Excellent written, in-person, and phone communication skills
  • Proficient with MS Office 365 suite and Google Workspace
  • Negotiation, planning, logistics, and public speaking skills
  • Familiarity with the non-profit mission of Wings Museum including exhibits and programs
  • Valid Driver’s License and clean motor vehicle record (MVR)
