Description

We seek an individual to join a highly motivated team in selflessly advancing The Association of Former Students’ noble mission by performing responsible and confidential administrative duties for the President and CEO, the Senior Vice President, and the Executive Assistant to the President and CEO.

DUTIES

Performs duties and takes initiative in support of the President and CEO, the Senior Vice President and the Executive Assistant:

  • Ensures the Executive office area — including the Zachry Presidential Suite, Pitzer Board Room, copy area and kitchenette — are always neat and tidy and stocked with the appropriate supplies.
  • Provides on-site support for the President and CEO, Senior Vice President, and Executive Assistant at all Board and Leadership Council Meetings, Distinguished Alumni Gala, Aggie Ring Day, Ring Remembrance, Muster, and all home game weekends. (For example: With a Saturday home game, attendance is required Friday afternoon/evening and Saturday prior to and after the game.)
  • Answers and screens calls; makes appointments as needed.
  • Provides strong customer service, organizational skills and discretion.
  • Assists President and CEO, Senior Vice President, and Executive Assistant with preparations for Board meetings as well as President and CEO commitments.
  • Assists in coordination of travel preparations for the President and CEO.
  • Maintains inventory of Executive Administration’s promotional items.
  • Assists with other duties as needed related to administration and the President and CEO’s office.
  • Hosts former students and gives campus tours as necessary.
  • Runs errands, such as picking up supplies or dropping off gifts or other items, as needed. 
  • Takes Association vehicles for cleaning and fuel weekly, or as needed. 
  • Out of town travel to Association/Texas A&M events as necessary.

Participates in and provides input on various Association-wide activities:

  • Actively contributes toward efforts to achieve our culture, engagement, and fundraising goals.
  • Provides on-site event support for Board and Leadership Council meetings.
  • Participates on internal event teams and task committees.
  • Participates in Association events, including but not limited to Aggie Muster, Aggie Ring Day, Reunions, Distinguished Alumni Gala, Pass It Back Day, All-Aggie Grad Party, and All-Aggie Hullabaloo, as needed.

Serves as an ambassador for The Association:

  • Meets our Team Expectations.
  • Supports The Association’s marketing, communications, and branding initiatives.
  • Fosters relationships with students, former students, parents, faculty, staff, and friends of Texas A&M. 
  • Attends external events in support of the President and CEO, the Senior Vice President, or on behalf of The Association, as directed.

Requirements

KNOWLEDGE, SKILLS & ABILITIES

Required: Exceptional written, oral, and interpersonal communication skills. Ability to organize concurrent projects and manage time while working independently with minimal supervision or collaboratively with a high-functioning team in an environment of multitasking and rapid change. Flexibility to adjust to rapidly changing situations and solve problems with a positive attitude. Ability to develop long-lasting and professional relationships and interact with current and former students, as well as friends of Texas A&M. Ability to use standard office equipment and software. Ability to carry objects up to 30 pounds and to stand for long periods and move quickly when needed at events. 

Preferred: Proficiency in the Microsoft Office software suite. Advanced software skills to perform administrative duties as required in maintaining communications, databases and spreadsheets. General familiarity with the Texas A&M University campus and its offices.


OTHER REQUIREMENTS

Strong commitment to the mission and vision of The Association of Former Students, with the ability and desire to advocate for the organization and Texas A&M University. Outgoing personality with a positive and friendly attitude. Professional attire and behavior. Texas driver’s license and a good driving record.
