Description

The Office Assistant is responsible for various administrative duties to support efficient operation of the school. They report to the Office Manager.  

This is a full time, non-exempt, hourly benefit-eligible position with general hours Monday-Friday from 8:00 a.m. to 4:30 p.m. with a one half-hour unpaid lunch.


Duties: 

  • Administrative tasks including answering phones, sorting mail, greeting visitors and providing general information as a first point of contact.
  • Data entry for a variety of Clarke's systems
  • Maintenance of required procedures for families and visitors upon entry to Clarke site
  • Contribute to the maintenance of common areas
  • Maintain current filing system for student files
  • Contribute to the maintenance of office supplies
  • Offer support for staff requests as determined by the Office Manager and the Director
  • Support travel arrangements as requested by the Director
  • Processing required accounting forms/documents as needed  
  • Prepare and maintain stock of Clarke information packs for new families
  • Participate in monthly OMG (Office Managers Group) Team Meeting.


Requirements

Three to five years’ experience in a similar or related position. Some post high school training/education is preferred. Bilingual English Spanish is a plus. Strong communication skills, resourcefulness and a proactive spirit are a must. Experience and proficiency in computers including an above average working knowledge of, but not limited to, Microsoft Office 365 and SharePoint. This position requires excellent office and time management skills along with strong customer service abilities and a positive demeanor even under pressure.
