POSITION SUMMARY

The purpose of this position is to provide broad administrative support across HR and Talent Acquisition. In this position, you will support employee records management, recruitment coordination, benefits administration, employee relations, policy implementation, training & development, data analysis and additional HR related projects as needed. This role requires a detail-oriented individual, with excellent communication abilities, and ability to be flexible as business needs shift. 


ESSENTIAL DUTIES AND RESPONSIBILITIES

  

Administrative Support

  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
  • Provides advanced administrative support, which may include sorting records; coordinating meetings; preparing and disseminating communication materials; typing and creating a variety of correspondence, announcements, records, forms, and reports.
  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Support the HR department in budget development and management, specifically regarding recruitment expenses.
  • Participate in HR projects and initiatives, such as implementing new HR programs, conducting training sessions, and updating HR policies and procedures.
  • Provides front desk backup support.

Recruitment & Staffing

  • Collaborate with Hiring Managers to understand staffing needs, priorities and develop tailored recruitment strategies.
  • Source candidates through various channels, including job boards (Indeed, LinkedIn, etc.), social media (Facebook, Instagram, etc.), networking, career fairs and open houses, schools, employee referrals, etc.
  • Screen resumes, conduct interviews, and assess candidates’ qualifications to ensure fit for the role and company culture.
  • Help to brainstorm creative ideas to increase candidate flow.
  • Assist with marketing and branding of recruiting materials as needed.
  • Proactively manage employer and job rating websites to improve company reputation.
  • Ensure meticulous documentation of interview processes and candidate information within the Applicant Tracking System (ATS), facilitating data-driven decision-making and compliance.
  • Administer the post-offer screening process for all new hires to include background checks, pre-employment drug screens and background checks prior to their start date.
  • Assist in the processing and training of new hires to ensure successful onboarding.

Data Analysis Support

  • Research, compile, and analyze a variety of data and information; prepares related reports.
  • Assist in the preparation of regularly scheduled state and federal reports, ensuring compliance with regulatory requirements.
  • Manage and update employee records and HR databases to ensure accuracy and compliance.
  • Maintain company organization charts and employee lists.
  • Collect, compile, and analyze HR data from various sources, including employee records, performance evaluations, surveys, and HRIS systems.
  • Conduct thorough data analysis to identify patterns, trends, and correlations related to employee demographics, performance, retention, and other key HR metrics.

Other

  • Exercise excellence in discretion and confidentiality in handling sensitive information; use exceptional judgement to elevate concerns as needed.


SUPERVISORY RESPONSIBILITES

This position does not have supervisory responsibilities.

Requirements

EXPERIENCE REQUIREMENTS

  • Strong experience with MS Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
  • Working knowledge of recruitment processes including experience in sourcing candidates, interviewing and onboarding.
  • Working knowledge of HR policies and laws. Familiarity with the latest HR trends preferred.
  • Working knowledge of human resource information systems.
  • Demonstrated experience handling sensitive and confidential information with discretion. 
  • Demonstrated experience analyzing and presenting information.
  • Demonstrated ability to maintain accurate and detailed records.
  • Excellent communication skills, ability to deal with customers at all levels.

EDUCATION REQUIREMENTS

  • Associates degree from an accredited university and two years of relevant experience, or a combination of education and relevant experience.
  • Bachelors degree from an accredited university in HR Management, Business Administration or a related field (Preferred). 


EMPLOYMENT REQUIREMENTS

  • Due to contractual requirements must be a United States Citizen
  • Must be able to pass an initial background check.
  • Must be able to obtain and maintain an active Department of Defense security clearance. Employee/selected candidate will be subject to a government security investigation and must meet eligibility requirements for access to classified information (as required)
  • Travel (CONUS and/or OCONUS) is limited but may be required to support customer requirements (<10%).
  • ASI is a Drug Free Workplace where applicants and employees are required to successfully pass pre-employment and random drug testing.


PHYSICAL REQUIREMENTS


  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job:
  • Must be able to perform normal office duties (sitting for long periods at a desk or while attending meetings).
  • Must be able to travel CONUS/OCONUS via multiple types of transportation to include car and airplane.
  • Must be able to climb stairs to enter and exit a simulator.
  • Additional skills may be required to perform additional task(s) specific to work location, department, or line of business.



WORK ENVIRONMENT

  • Work is primarily performed in an office environment consisting of offices and cubicles with low to moderate noise and bright or dim lighting.
  • The work is fast-paced and sometimes involves extreme deadline pressures.
  • The nature of the work requires a high degree of teamwork and cooperation with other members of the staff as well as external customers.
