JOB SUMMARY 

This position oversees the maintenance and operation activities for all building locations for our company. As the Office Coordinator you will serve as the main contact for outside vendors and coordination of repairs and routine maintenance. You will also assist and administer to overall team moral in support of our Companies Mission and Values.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. 

  • Oversee and manage ground keeping, landscaping, maintenance, custodial operations, HVAC, plumbing, electrical, carpentry, remodel projects, roofing/building repairs and schedules major, preventative, and regular maintenance programs.
  • Direct and assist contractors to ensure work is performed to satisfaction.
  • Assist with building inspections, procuring bids, building operations and other projects, as needed.
  • Oversee all building operation contracts, track expiration dates, negotiate and procure bids from other vendors to realize cost savings wherever possible.
  • monitoring and ordering inventory for office and breakroom supplies.
  • Main contact from alarm security and fire system.
  • Direct and assist contractors in the performance of assigned functions; and other duties as assigned.
  • Greeting visitors and directing them to the appropriate person or department as needed 
  • Assisting with administrative tasks such as data entry, filing, and organizing documents
  • Overseeing maintenance of office equipment and coordinating repairs when necessary 
  • Manage office communication boards as needed.
  • Assisting with HR-related tasks such as onboarding/offboarding new employees 
  • Providing administrative support to various departments as needed.
  • Organizing and coordinating office events, such as team-building activities, holiday parties, and birthday celebrations
  • Planning and implementing initiatives to boost employee morale and foster a positive work environment.
  • Assisting with recognition programs to acknowledge employee achievements and milestones.
  • Serving as a point of contact for employee feedback and suggestions regarding office morale and workplace culture
  • Collaborating with management to develop strategies for improving employee engagement and satisfaction.
  • Maintaining a pulse on the office atmosphere and proactively addressing any issues or concerns related to morale.
  • Supporting initiatives aimed at promoting work-life balance and employee well-being.
  • Encouraging teamwork, collaboration, and camaraderie among staff members through various activities and initiatives.


SUPERVISORY RESPONSIBILITIES This position carries out supervisory responsibilities in accordance with company guidelines, policies and procedures, and applicable laws. Supervisory responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

  • Strong written and verbal communication skills to produce reports, assign tasks, accept instructions, and manage vendor contracts.
  • 1-3 Years’ Experience in Office or Facility Management 
  • Time management and organizational skills. and the ability to multitask to complete a wide variety of tasks.
  • Strong interpersonal and communication skills to interact positively with all employees and vendors.
  • Attention to detail to ensure tasks are completed thoroughly and correctly. 
  • Ability to take direction and see a project through with minimal supervision. 
  • Proficient with Microsoft 365 Suite and Teams
