Job Overview

This position is a full-time, benefits-eligible position. The Operations Team Specialist plays a pivotal role in ensuring the smooth functioning of various operational aspects within the People and Culture and Finance Team (Operations). This multifaceted position encompasses responsibilities related to accounts payable, accounts receivable, and People and Culture generalist functions. The Operations Team Specialist is responsible for maintaining financial integrity, facilitating efficient payment processes, managing receivables, and supporting various people and culture activities to include, recruitment, performance management and total rewards. 


Responsibilities and Duties

Financial Responsibilities (60%): 

  • Assist with accounts payable and accounts receivable functions, including invoice processing, payment reconciliation, and expense tracking.
  • Ensure accuracy of bank and GL account reconciliations
  • Collaborate with the finance team to ensure accurate and timely completion of financial tasks.
  • Identify areas for improvement of financial tasks and processes.
  • Support audits and compliance reviews as needed.
  • Assist with month end closing procedures.
  • Assist third party support team with documentation and follow up financial close.
  • Coordinate with 3rd party accounting team on day-to-day accounting needs.
  • Assist Vendors with completion of Vendor applications to ensure smooth payment.


People & Culture Responsibilities (40%):

  • Coordinate the recruitment process, including posting job openings, screening resumes, and scheduling interviews.
  • Assist with new hire onboarding activities, including paperwork completion, orientation sessions, and training coordination.
  • Manage employee records and ensure compliance with organizational policies and procedures.
  • Support people operations initiatives such as performance management, employee engagement surveys, and benefits administration.
  • Serve as a point of contact for employee inquiries and provide general people support as needed.


Qualifications:

  • Typically requires a minimum of 2-6 years in related field; 2-4 years position specific experience.
  • Associate’s Degree in Finance, Human Resources, Business Administration, or related field.
  • Previous experience in finance and/or human resources roles preferred.
  • Strong analytical skills with the ability to interpret financial data and HR metrics.
  • Advanced Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint.
  • Excellent communication and interpersonal skills.
  • Attention to detail and accuracy in data entry and record keeping.
  • Experience with budget management and planning tools, Adaptive Insights preferred.
  • Must be detail-oriented and able to manage multiple projects with specified or predetermined deadlines.
  • Must possess excellent organizational, time and project management skills; demonstrated ability to work effectively and efficiently in a remote work environment.
  • Demonstrates an understanding and passion for learning more about diversity, equity, and inclusion concepts, is able to represent those in external relationships, and ensures that they are reflected in the programs and activities they are responsible for.
  • Demonstrates ability to work both independently and collaboratively in a remote environment, ensuring effective communication and productivity across virtual teams.
  • Self-motivated with a collaborative and professional team spirit to contribute to a collegial, team-oriented environment.
  • Travel up to 10 days per year to local, state-wide or national conferences, meetings, grantee site visits, etc.
