Employment Type: Full Time (35 Hrs.)

FLSA Status: Non-Exempt

Pay: $20 - $23/hr.

Summary:

The Office for Youth and Young Adult Ministry assists parishes to:

  • Respond with cultural sensitivity to the specific needs of youth and young adults
  • Foster their human and spiritual development
  • Help them take their rightful place in the full life and mission of the Church
  • Empower them to transform the world as disciples of Jesus

They provide youth and young adult minsters with:

  • Ongoing formation and in-service programs
  • Consultation opportunities
  • Information regarding diocesan policies and guidelines
  • Ministry resources

Responsibilities:

  • Performs day-to-day administrative duties to include answering phone calls, distributing mail, and greeting visitors.
  • Serves as the central point of telephone, email, and print communication for most office contact with parishes.
  • Excellent written and verbal communication in English and Spanish.
  • Provides registration support for events supported by the Office. These duties include Posting registration materials online, tracking registrations and payments, and following up with registrants with any questions or incomplete registrations.
  • Processes all payment per Office of Finance procedures.
  • Processes all check requests, expense reports, and deposits for the Office per Office of Finance procedures and files copies of all submitted items.
  • Performs general administrative duties to include maintenance of administrative files (physical and electronic), operation of office equipment and preparation of correspondence.
  • Maintains accurate contact databases.
  • Implements logistical support efforts for events sponsored by the Office, to include but not limited to venue liaison, housing, food, transportation and medical support. 
  • Attends major events for the Office when required.
  • Ensures the website for the Office is updated and maintained with accurate information. 
  • Works collaboratively with other Diocesan offices as requested.

Working Conditions:

Required working hours include:

  • Regular office hours are 8:30am to 4:30pm (Monday through Friday).
  • Occasional evening and/or weekend work is required. 
  • Some overnight week/weekend long stay is required.

  • Three years’ administrative assistance experience
  • Demonstrated experience in creating marketing materials
  • Knowledgeable in Microsoft Office and Teams
  • Bilingual (English/Spanish) required
  • Knowledge of the Catholic Faith.

Physical Demands

While performing the duties of this job the employee is regularly required to remain in an office at a computer workstation and access information from a computer and use a telephone. The employee is required to be mobile to, from, and within the office, as well as maneuver throughout the Pastoral Center facility to attend meetings, briefings, and other work-related events. The employee must occasionally lift and/or move up to 20 pounds.
