Salary Range: $84,242-101,271 (DOE)

ABOUT THE POSITION:

NRPA is currently seeking a Senior Manager of Executive Administration to join our executive team. 

The Senior Manager of Executive Administration provides seamless coordination, information flow and executive support to the President & CEO. This entails not only the excellent execution and balancing of deliverables, deadlines, priorities, tasks, and projects, but a strategic approach to gatekeeping and time management, provision of advice and counsel to the President, and follow through on key initiatives that require high involvement from the President & CEO. In short, the Senior Manager of Executive Administration is a highly skilled and experienced partner and representative of NRPA’s executive office.

This role is responsible for managing and maintaining an effective and efficient executive and governance administrative structure upon which the President & CEO can execute their responsibilities in service of growing the reach, resources, and impact of NRPA. The Senior Manager of Executive Administration serves as the primary point of contact on matters pertaining to the President & CEO and Board of Directors. The Senior Manager of Executive Administration organizes and coordinates the President & CEO’s public appearances and meetings, as well as board and executive team meetings and retreats. The Senior Manager of Executive Administration will work independently managing processes and projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities effectively and confidential matters with discretion.

The ideal individual will be disciplined, highly organized, and exercise good judgment and discretion, with strong administrative, organizational, project management, and problem-solving skills. They will be expected to maintain a realistic balance among multiple priorities in a fast-paced environment, supporting workflows by establishing and maintaining effective structures and systems.


Specific Responsibilities include, but are not limited to:

Executive Administration – 50 to 60%

  • Represent the President & CEO, facilitate and drive workflows with external stakeholders and internal staff. Expected to work independently with a high degree of critical judgement and attention to detail and relationship management.
  • Serve as the primary scheduler and point of contact for the President & CEO. Work independently with internal and external stakeholders to ensure the President’s time is allocated in accordance with strategic priorities. Make decisions and proactively plan the President & CEO’s time looking forward over an annual timeline. 
  • Manage internal and external meeting, event, and presentation calendar for the President & CEO, coordinating with Marketing & Engagement and other department leads as needed. Track deliverables, deadlines, briefing materials, and requirements and manage the digital folder of presentations and related materials, proactively ensuring the President & CEO is equipped with all required resources and information.
  • Manage travel plans and itineraries for President & CEO, including effective communication flow between parties.
  • Support the President & CEO’s responsibilities at the NRPA annual conference.

Board Relations Management – 30 to 40%

  • Create and maintain annual calendar of governance workflow and documents for Board of Directors, including meetings schedule, bios, terms, committee membership, officers, contact information, giving, board attendance, minutes, demographics, and skills matrix.
  • Staff the governance committee and project manage annual governance processes, including conflict of interest disclosures, DEI pledge, bylaws, handbook, recruitment, onboarding, and member status.
  • Gather, compile, and distribute quarterly board meeting briefing book content, including agendas and dashboards, and meeting logistical information, ensuring all meetings are scheduled and executed in accordance with guidelines.
  • Collaborate with Conference & Events team to ensure they produce in-person meetings in accordance with needs and priorities.
  • Maintain digital file system of NRPA Board and committee information in accordance with NRPA librarian guidelines. 
  • Provide back-up support, only as needed and upon request, to other Board committees.
  • Support the intersection between the Board and the NRPA annual conference. 
  • Draft and publish board meeting summaries for all staff.

Executive Team Agenda Management – 10%

  • Support President & CEO in planning and managing monthly Executive Team meeting and quarterly in-person retreat agendas and materials.
  • Collaborate with Conference & Events team to ensure they produce in-person meetings in accordance with needs and priorities.
  • Track agendas and manage follow through, providing a bridge for smooth communication between Executive Team and other colleagues. 
  • Draft and publish executive team meeting summaries for all staff.

Qualifications

  • Bachelor’s Degree or equivalent combination of experience and education
  • Minimum 5-7 years of relevant executive administration and project management experience 
  • Prior experience working in a nonprofit organization or membership association and with a board of directors preferred
  • Project management (PMP) or other related certification a plus 
  • Ability to work independently, exercise excellent judgment and advance projects and tasks efficiently and effectively 
  • Ability to handle confidential and/or sensitive business and people issues with tact and diplomacy
  • Excellent interpersonal skills. Ability to flex style, work with a wide range of individuals and personalities, establish, and maintain effective working relationships
  • Meticulous attention to detail, including excellent proofreading and copy-editing skills
  • Ability to organize, prioritize, and manage multiple tasks, projects and workflows, sometimes under time pressure and facing unexpected challenges, with excellent results
  • Adept at anticipating needs, negotiating complex schedules and travel plans as well as balancing competing demands from different departments and constituents 
  • Highly resourceful team-player with strong communication and follow through skills
  • High degree of comfort with technology, including strong aptitude in Microsoft Office suite and CRM/AMS platforms
  • Ability to travel a minimum of 10 and up to 20 days per year
