Description

The Executive Assistant to the Chief Financial Officer (CFO) provides high-level administrative support and coordination of projects for the CFO, and Accounting, Contracts, and Procurement functions. This role involves managing schedules, handling correspondence, preparing reports and presentations and assisting with financial projects. The Executive Assistant also serves as a liaison to DESC’s Finance & Audit Committee of the Board of Directors coordinating scheduling, agenda creation, and taking minutes, and oversees special projects. The ideal candidate has strong written and verbal communication, administrative, and organizational skills, is detail-oriented, and capable of multitasking in a fast-paced environment. 

Requirements

DUTIES AND RESPOSIBILITIES  

  • Support the CFO with various strategic projects and initiatives. Track project progress, deadlines, and deliverables.  
  • Serve as a liaison between the CFO and other executives, departments, and external partners.  
  • Draft and proofread correspondence and communications on behalf of the CFO. 
  • Compile data, verify and organize materials for reports, and assist in preparing reports for presentations.  
  • Proactively manage scheduling support and coordination for CFO, including coordination of meetings, appointments and travel arrangements. 
  • Identify requirements for meetings and arrange appropriate support, including agendas and schedules. 
  • Record, transcribe and distribute minutes of meetings. 
  • Prepare timesheets, expense reports, travel and credit card statements per company guidelines.  
  • Submit all travel related requests, and prepare travel itineraries and meeting agendas, as well as briefing materials. Reconcile travel expense reports and submit them in a timely fashion. 
  • Assist with budget preparation, expense tracking, and financial reporting. 
  • Cross-train with Administrative Support Staff to cover duties during absences. 
  • Attend meetings and trainings as required.  
  • Perform special projects and assume responsibilities as assigned.

QUALIFICATIONS

  • Proven experience as an executive assistant or in a similar role, preferably in a financial environment. 
  • Excellent organizational and time-management skills.  
  • Strong written and verbal communication abilities.  
  • Experience supporting multiple managers and/or providing support to a larger team. 
  • Meets deadlines, prioritizes assignments, and handles multiple activities and tasks simultaneously in a fast-paced environment.  
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). 
  • Experience preparing presentations for executive meetings. 
  • Familiarity with financial terminology, systems, and processes is a plus. 
  • Ability to handle sensitive information with discretion and confidentiality.  
  • Strong attention to detail and problem-solving skills with an ability to prioritize and handle multiple tasks at once. 
  • Understand continuous improvement processes.  

EDUCATION 

  • Bachelor's degree preferred.  
  • A minimum of three years administrative work experience in support of an Executive.

LICENSES:  

Valid State of Michigan Driver’s License – Position requires field work.  


OTHER:  

Background check and drug screen required.
