SUMMARY
The service coordinator is the first point of contact for customers that seek repair for their equipment. He/she must have good people skills and be able to multitask regularly. He/she is responsible for dispatching service jobs, rescheduling when necessary and finalizing the clerical part of the job.
JOB DESCRIPTION
- Field customer calls/emails and dispatch all Field service and P.M. technicians
- Collect timecards from all field service and P.M. technicians and post all labor daily
- Complete payroll sheet and send to Controller on a bi-weekly basis
- Open and close all work orders for Field service and P.M. technicians (except I5400 Rental workorders)
- Open and close all tire work orders for parts
- Issue PO numbers for field service technicians and all non-shop job needs, receipt-in when invoices arrive
- Receive invoices form corporate office and separate any 3RD party billing to match up and mail to customer
- Process credit card payments when necessary
- Process filing of closed workorders
- Gather all fuel receipts from field technicians and send to A/P department at the first of the month
- Set up all new PM contracts in NDS
- Input all amendments
- Run monthly reports
- Run PM list on the 1ST and 15TH of each month and give to designated technician
- Input invoice information in portal, attach copies of workorder and PM sheet required by specific customers for payment
- Monitor Fix-It program for unused PO's
- Maintain PM cancellation log; send to appropriate department on monthly basis
- Serve as backup for Service Writer in case of absence
SKILLS/RESPONSIBILITIES
Intermediate computer and typing skills
Professional demeanor at all times
Must be proficient in Microsoft Office suite
Prefer experience with NDS software
Must have superior customer service skills
WORK EXPERIENCE REQUIREMENTS
Minimum preferred: 2-3 years’ experience in a related field which includes scheduling and dispatching drivers.
EDUCATION/CERTIFICATION/LICENSE REQUIREMENTS
Minimum – High School Diploma; College Degree Preferred
WORK CONDITIONS/PHYSICAL DEMANDS
This position is in an office setting where the noise level is generally quiet to sometimes moderate if working near the shop area. Employee is occasionally required to stand; walk; sit; and reach with hands and arms. Employee must have normal manual dexterity and be able to effectively manipulate keyboard and phone. Specific vision abilities required by this job includes close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
