Legal Assistant

The Legal Assistant assists attorney and paralegal with all aspects of administrative work including, but not limited to the following: electronic and paper file maintenance; spreadsheet maintenance; filing; and assisting with other duties as necessary and as assigned by attorney and/or paralegal.

Key Responsibilities

Tracking Deadlines

  •  Accepts all referrals from the Collection Department and keeps track of their status on spreadsheets and in Lease Plus.
  •  Maintains bankruptcy status spreadsheet and watches statutory time periods and other deadlines.
  •  Advises attorneys of deadlines, when demand periods are up, and bankruptcies have moved to the next stage.

Record Keeping

  •  Maintains record of which cases have been referred to outside counsel, what fees have been paid, and what recoveries have been received.
  •  Accumulates information requested by executive management and puts in requested formats.
  •  Keeps track of all monies received, and all expenses.
  •  Does all filing both electronic and paper.

Court Proceedings

  • Drafts demand letters, complaints, praecipes and other court documents as needed. E-files all court documents. Is responsible for successful service of all summonses.
  •  Sends cases to outside counsel as directed by General Counsel. Responds directly to requests for additional information from outside counsel or their assistants. Keeps track of status of case.
  •  Compiles background information on defendants. Prepares statements of account. Gathers all documents needed to prosecute a case.
  •  Begins internal process for all bankruptcies filed. Notifies all pertinent AEF staff that a bankruptcy has been filed. Notifies collection agency and outside counsel as necessary. Prepares ARFs as necessary. Prepares a statement of account and the proof claim form and gathers the documentation that needs to accompany the form. Submits the proof of claim to the court.

Collection Agency Liaison

  •  Sends all files designated to collection agency. Prepares necessary documentation. Gathers all documents needed. Keeps track of the status of all cases on spreadsheets.
  •  Maintains communication with collection agency and provides additional information as needed. Reviews reports from collection agency and provides to Legal Department staff and executive management.



  • Required Education and Experience
  • Equivalent 2 to 5 years related experience preferred
  • High School Diploma / GED required.
  • Experience in office setting preferred but not required.
  • Excellent computer skills with proficiency in Microsoft Office applications.
  • Detail-oriented and well-versed in oral and written communication.

Supervisory Responsibility

This position has no direct supervisory responsibilities.

Work Environment

This job operates in a professional office setting. This role routinely uses standard office equipment such

as computers, phones, and copy machine with scanner, filing cabinets and fax machines.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to

successfully perform the essential functions of this job. The employee is required to talk or hear; may be

necessary to stand, walk, handle, or reach with hands or arms. This is largely a sedentary role; however,

some filing is required, calling for the ability to lift files, open filing cabinets and bend or stand on a stool

as necessary. The team member frequently is required to walk. The team member is occasionally

required to pack and move files or boxes as well as lift and/or move up to 25 pounds. Specific vision

abilities required by this job include close vision, distance vision, peripheral vision and the ability to adjust

Position Type and Expected Hours of Work

This position may have access to confidential information. Background check is required for this position.

This is a full-time position. Days and hours of Amur Equipment Finance are Monday through Friday, 8:00

a.m. to 5:30 p.m. Flexibility to occasionally stay late to meet business needs.


No out-of-state travel is expected for this position. May be in-state travel to seminars. May be asked to

travel to the post office and court house.
