Monroe Capital LLC is seeking a highly skilled and experienced Senior Payroll Specialist to join our team. The Senior Payroll Specialist will be responsible for overseeing all aspects of payroll processing, ensuring accuracy, compliance, and efficiency in payroll operations. This position requires a detail-oriented individual with extensive knowledge of payroll regulations, excellent organizational skills, and the ability to handle sensitive information with confidentiality.
Duties and responsibilities of the job include the following (but is not limited too):
- Manage end-to-end multi state and international Semi-monthly payroll processing for all employees, including data entry, calculations, and distribution of paychecks or electronic transfers.
- Ensure accurate and timely processing of payroll transactions, including salary adjustments, bonuses, referral fees, and deductions.
- Review and verify payroll reports for accuracy and compliance with company policies and regulatory requirements.
- Stay updated on federal, multiple state, and local payroll regulations, tax laws, and compliance requirements.
- Ensure payroll practices adhere to relevant labor laws, including Fair Labor Standards Act (FLSA) regulations, tax laws, and reporting requirements.
- Review payroll tax filings, including quarterly and annual reports, ensuring compliance with tax regulations and deadlines.
- Coordinate with HR to ensure accurate deductions and contributions related to employee benefits.
- Liaises with the accounting team (accounts payable and receivable) to reconcile discrepancies.
- Verify and audits tax withholding based on office, residence, and work location.
- Track and deducts 401K loan payments, garnishments, tax levies, LOA (FMLA, PFL, STD & LTD) calculations and other mandatory employee deductions.
- Ensure end of year processes are completed accurately and timely including auditing of W2s and other tax documents.
- Utilize payroll software and systems to process payroll efficiently and accurately.
- Maintain payroll records, including employee information, earnings, deductions, and tax withholding forms.
- Generate payroll reports and analyze payroll data to identify trends, discrepancies, or areas for improvement.
- Prepare regular and ad-hoc payroll reports for management review, budgeting, and forecasting purposes.
- Provide insights and recommendations based on payroll analytics to improve payroll processes and efficiency.
- Participate in internal and external payroll audits, providing documentation and support as needed.
- Implement and maintain internal controls to ensure accuracy, integrity, and security of payroll data.
- Identify and address discrepancies or issues identified during audits, implementing corrective actions as necessary.

Preferred experience, education, and qualifications:
- Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
- 5+ years of progressive experience in payroll processing and administration, with at least 2 years in a senior or supervisory role.
- Proficiency in payroll software and systems, experience with Paylocity a plus
- Strong understanding of payroll regulations, tax laws, and compliance requirements.
- Excellent attention to detail and accuracy in data entry and calculations.
- Ability to prioritize tasks, meet deadlines, and work effectively
- Exceptional communication and interpersonal skills, with the ability to interact with employees at all levels.
- Certified Payroll Professional (CPP) certification preferred.
- Intermediate to Advanced Excel skills and other office productivity tools.
- Commitment to maintaining confidentiality and handling sensitive information with discretion.
