Summary

The Portfolio Administrator, under the direction and supervision of RCD’s Associate Director of Asset Management (ADAM), will have responsibility for a full range of administrative and systems-related tasks pertaining to RCD’s corporate operations and portfolio of affordable multi-family housing. Responsibilities are broadly grouped into three areas: (1) Corporate and Portfolio Administration, (2) Business Analysis; and (3) Systems Support &Maintenance. The roles and responsibilities of the Portfolio Administrator are integral to the core operations of RCD’s business and the fulfillment of RCD’s mission. This position requires a moderate level of direct oversight and supervision. The candidate will work most closely with the Asset Management team, while also collaborating with other teams and organizational leadership. The candidate will join a growing team and company with a strong track record, industry position, and trajectory.


Requirements

Corporate and Portfolio Administration

  • Corporate Board Administration and filing.
  • Work with RCD’s Executive Director on Board of Directors administration and documentation, including coordinating Board meeting attendance and administration (may include attending monthly Board meetings in the evening), coordinating meetings and administration of RCD’s affiliate non-profit organizations, and working with Board members on the submittal of required annual compliance documentation.
  • Provide functional and administrative support for routine affordable housing program compliance reporting to lenders and investors.
  • Apply for and renew corporate filings, including but not limited to: business licenses, property tax exemptions, various other state and federal corporate compliance obligations.
  • In conjunction with departmental leadership, create procedure documents to codify existing business processes and ensure consistency in current policies and procedures.
  • Support the maintenance of portfolio data and respond to internal and external informational and data requests.


Business Analysis

  • Support Asset Managers in conducting research, analytical work and reporting on special project initiatives that have significant impact on successful operation of RCD’s affordable housing properties.


Systems Support & Maintenance

  • Asset Management data collection, validation and other support for Salesforce database system
  • Collate and review program regulatory agreements and funding documents.
  • Support the migration of property management and financial data from spreadsheets to Salesforce and Power BI
  • Provide technical assistance and support to internal staff on data structure and data systems


Qualifications & Skill Set:

  • Associate’s degree required; bachelor’s degree preferred or 2+ years of administrative support experience.
  • Strong organizational skills and an ability to juggle and prioritize multiple responsibilities
  • Database development and maintenance and business analytics solutions knowledge a plus, specifically with Salesforce and Power BI
  • Familiarity and/or demonstrated interest in asset management of affordable housing real estate preferred
  • Team player with a ‘can-do’ attitude and an outlook that problems are to be solved
  • Strong interpersonal skills and an ability to indirectly manage others
  • Clear and effective verbal and written communication
  • Strong Excel ability
  • Experience with property management and financial accounting systems a plus, such as: MRI, Boston Post, Yardi, Sage Intacct, RealPage
  • Experience working for an escrow or title company, or and/or having a paralegal certificate a plus


Work Environment

RCD is currently practicing a hybrid work model. Depending on your distance from our main office in Berkeley, you will be expected to work up to two days in the office.



Travel Requirements

The responsibilities of this position will require occasional travel to off-site locations around the San Francisco Bay Area.

While performing the duties of the job, the employee is regularly required to sit, speak and hear. Requires frequent use of a keyboard, computer monitor and phone. Must be able to communicate clearly, both verbally and in writing. Must be able to lift up to twenty (20) pounds occasionally. The salary range for this position is $79,700.00 to $83,900.00, based on factors including experience, qualifications, role specialization, and market conditions. Salary placement within this range considers current and past employees' salaries for similar roles, budgetary limits, and market demand.
