Position Overview
The Information Systems (IS) Specialist II position is responsible for managing and maintaining our Microsoft 365 environment, ensuring optimal performance, security, and availability. Individual will provide hardware and software technical support and exceptional customer service to end- users as well as help users streamline processes using workflow.
Essential Functions
End User Support
- Monitor helpdesk request system and respond to requests from end-users in a timely and courteous manner; prioritize tasks and implement effective solutions
- Provide technical support for a variety of equipment including computers, tablets, A/V equipment, smartphones, printers and mobile broad-band devices
- Escalate helpdesk requests to outsourced support vendors as needed
- Develop and maintain documentation for system configurations and procedures
- Continuously improve system performance and user experience
- Work as a team member with other technical and professional staff on projects
- Conduct technical training as part of New Employee Orientation
- Maintain confidentiality with regard to information being processed, stored or accessed over the network
- Work with staff to develop and maintain online databases for specific project needs
Microsoft 365, Exchange, SharePoint, and Teams
- Manage and maintain Microsoft 365 environment, including Exchange Online, SharePoint Online, Teams, Dynamics 365, and OneDrive for Business
- Configure and manage user accounts, permissions, and licenses
- Monitor system performance and troubleshoot issues
- Ensure compliance with organizational policies and industry standards
- Use Microsoft Intune, Microsoft Defender and other software to manage user computers, software, and updates
- Perform monthly network infrastructure administration and maintenance duties
- Install and configure new equipment and software
- Implement security measures to protect sensitive data
- Maintain inventory of hardware and software
- Implement and manage data retention policies
- Clean, modify, and repair computer hardware including monitors, keyboards, printers, etc.
- Troubleshoot and resolve hardware, software, and connectivity problems, including user access and component configuration
- Document system problems and resolutions for future reference
- Communicate with network and/or other external vendors as needed
- Create and support Microsoft 365 users, shared mailboxes and resources
- Configure and maintain Exchange mail flow rules
- Configure and support Microsoft Teams resources including users and devices
- Administer users and content in SharePoint online
- Configure and maintain Dynamics 365 (CRM) environment
- Troubleshoot, escalate, and report any Microsoft system issues
- Configure SharePoint lists and Power Automate workflows
Information Security
- Manage ongoing security awareness training for staff
- Monitor suspicious email activity and handle potential threats as needed
- Ensure staff complete necessary security awareness training
- Manage ongoing security awareness campaigns for staff
- Stay up-to-date with the latest information security trends and threats
Technical Expertise
- Conduct research on available technologies and solutions and share knowledge with team
- Maintain own technical and professional knowledge by attending workshops, reviewing professional publications, establishing professional networks and participating in professional organizations
- Provide technical training and mentoring to staff
- Recommend improvements to processes and procedures
- Develop expertise through targeted development activities and new job experiences
- Associate’s degree in Information Systems, Computer Science or related field with 4-6 years of experience as a helpdesk representative, Microsoft 365 administrator, or other technical related experience is required. An equivalent combination of education and relevant work experience may be considered
- Intermediate experience with MS Windows 10/11, Microsoft 365 and associated applications, Dynamics 365, SharePoint, Azure AD, Power Automate, Microsoft Defender and Microsoft Intune
- Experience including the following: helpdesk or other technical support, M365 administration, and Intune & Defender administration
- Experience designing SharePoint workflows using multiple inputs, lists, and Power Automate processes
- General knowledge of computer hardware and software products and applications
- Excellent communication, problem solving and organization skills
- Strong attention to detail and able to work independently as well as collaboratively with team members
- Strong multi-tasking skills and ability to juggle and prioritize various requests and needs
- Exceptional customer service skills; must enjoy assisting others and have a positive “can-do” attitude
Physical Demands/Work Conditions
This job requires the individual to work indoors in a normal office environment. The duties and responsibilities of this position may include the ability to remain in a stationary position for most of the time. The individual will operate the computer, printer and other office equipment to perform the job and may need to occasionally move about inside the office to access files and other office machinery. The individual will spend an extended number of hours in front of a computer screen and will frequently interact and communicate with internal and external customers. Must be able to exchange accurate information and express oneself in an appropriate manner. The job may require occasional lifting or moving of boxes or objects weighing up to 25 lbs.
Employment Type
