Out-Patient Therapy Office Coordinator

Job Summary:

   

Responsible for patient care to include organization, clean-up of treatment areas, and office duties as needed under the direction of Therapist or supervisor. Responsibilities also included providing excellent customer service to patients, physicians and all other office staff personnel, and helping maintain an organized office and complete various clerical tasks in a professional and timely manner. 


Responsibilities: 

  •  Communicates with manager and other health care interdisciplinary team members regarding patient’s response to treatment. 
  •  Maintain patient records confidentially. 
  •  Files charts, coordinates home exercise programs and provides office support when needed.    
  • Must be able to recognize and respond appropriately to urgent/emergent situations per protocols. 
  •  Maintain work area, exam rooms and supplies. 
  • Maintain professional appearance and personal conduct at all times.  
  • Follows all The Facilities Clinic policies and procedures  
  • Establish and maintain effective working relationships with physicians, staff and management.  
  • Keep regular clinic hours as approved by the Manager.  
  • Attends departmental meetings as requested.  
  •  Ability to learn physical therapy techniques and vocabulary.  
  •  Perform other duties as assigned. 
  • Conducting pre-certifications with insurances. 
  • Collecting patient insurance information. 
  • Verifying medical insurance benefits. 
  • Contacting private insurance companies. 
  • Obtaining Medicare and Medicaid benefit information. 
  • Determining insurance compatibility with health care providers. 
  • Scheduling tests and procedures when needed. 
  • Greeting and directing patients to examination rooms. 
  • Scheduling patient appointments and making reminder calls. 
  • Informing patients about delays and waiting times. 
  • Obtaining patients’ addresses, contact details, insurance information, and medical histories. 
  • Updating and verifying patient information at every visit. 
  • Assisting patients in filling out patient history forms, consent forms, and payment contract forms, when necessary. 
  • Receiving and processing cash and credit card payments for medical services rendered. 
  • Reviewing patient accounts, identifying delinquent accounts, and collecting overdue payments. 
  • Answering, investigating, and/or directing patient inquiries or complaints to the appropriate medical staff member. 
  • Performing administrative and clerical duties, such as filing paperwork, when necessary.


Requirements

 

Education and Experience: 

  • Experience: One year as a therapy aide is preferred. 

Required Skills/Abilities: 

  • Strong organizational and interpersonal skills. 
  •  Knowledge of CPT & ICD-10 coding procedures. 
  •  Through knowledge of physical therapy principles and practices  
  • Working knowledge of computer programs.

  •  Ability to communicate effectively in person, by phone and in writing.     
  • Complete required orientation as directed by facility                                                                                                           
  • Follow facility and OSHA safety rules and procedures while on assignment                                                                      
  • Respect cultural and religious practices of patients                                                                                                               
  • Uphold HIPAA regulations
  • Punctual and dependent for assigned/confirmed shifts 
  • Ability to provide customer service in a warm and friendly manner. 

Physical Requirements: 

Hearing: Adequate to perform job duties in person and over the telephone.  

Speaking: Must be able to communicate clearly to patients in person and over the telephone.  

Vision: Visual acuity adequate to perform job duties, including visual examination of patient and reading information from printed sources and computer screens. 

Other: Ability to lift fifty (50) pounds to assist therapist with patient transfers.  Moving, lifting or transferring patients may involve lifting up to 100 pounds.  Ability to stand for extended periods, fine motor skills, and visual acuity.  The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
