Description

The Northside Achievement Zone (NAZ) is a bold and innovative collaborative effort to close the achievement gap in a geographic “Zone” of North Minneapolis. The purpose of our work is to end multigenerational poverty in our community, using education as a lever. We use a data-driven, evidence-based, achievement-focused model in which both children and their families move through a “cradle-to-career” ecosystem that provides comprehensive support. NAZ is a leading initiative in the national Promise Neighborhoods and cradle to college/career movement. As NAZ learns what works with families in North Minneapolis to address complex issues related to urban poverty, strategies are being set up for replication and informing the regional, state, and national field.


Position Overview

The Receptionist will be the first point of contact for NAZ. They will handle the flow of people through the building, ensuring that all receptionist responsibilities are delivered with high quality and in a timely manner, as well as provide administrative support to NAZ HR and Development teams as outlined. 


Key Responsibilities

Front Desk Operations

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and/or office
  • Answer, screen, and forward incoming phone calls
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures)

Administrative Duties

  • Receive, sort, and distribute packages and mail for both incoming and outgoing shipments
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, etc.)
  • Support ordering of office supplies and keep inventory of stock
  • Update calendars and schedule meetings
  • Provide basic and accurate information in-person and via phone/email
  • Direct general inquiries via email or phone
  • Maintain awareness of the daily schedule of meetings in the building to provide accurate information to visitors and staff

HR Support

Under the direction of the Human Resources Department, support the processing of HR related tasks:

  • Handling HR documentation and employee records with sensitivity 
  • Updating employee information in the HRIS
  • Assisting with the recruiting process, including posting job ads on job boards, coordinating candidate communications, and organizing interview schedules
  • Assisting with onboarding and orientation materials 
  • Handle general employee inquires 
  • Supporting other HR projects and initiatives 

Development Support

Under the direction of the Senior Manager, Development Operations, support the processing of financial and in-kind donations, including:  

  • Support updates in the development database (in Salesforce) to ensure contacts are properly moved through development process and gifts are recorded appropriately
  • Support gift acknowledgement process, producing donor letters and receipts on a weekly basis for review;
  • Print, secure necessary signatures, and mail acknowledgement correspondence
  • Conduct regular database updates (including address/email clean, event attendance, de-duping, erroneous entries, etc)
  • Distribute other Development correspondence (i.e. pledge reminders) as directed 
  • Organize digital Development files on the shared drive
  • Provide support for the annual SOARNORTH Gala, including but not limited to guest registration and data entry
  • Attend weekly Development team meetings as needed
  • Provide administrative support for Development team as needed

 

Requirements


Education and Experience

  • High school diploma or equivalent; additional certification in Office Management is a plus
  • Proven work experience as a Receptionist, Front Office Representative, or similar role

Skills and Competencies

  • Proficiency in Google Suites, Microsoft Office
  • Experience using a CRM database, such as Salesforce
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Excellent written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Good customer service attitude


Working Conditions and Physical Effort

  • This role is expected to work five (5) days onsite at NAZ Main Office located in Minneapolis, MN
  • Work includes frequent walking up and down stairs, lifting, sitting, and bending
  • Regular operation of normal office machines (computer, copier, and fax) is required
  • Occasional evenings and weekends are required for special events
  • Limited travel may be required
