We are seeking an experienced Executive Assistant to provide comprehensive support to our executive team. This position requires a high-level professional with excellent communication and organizational skills, strong attention to detail, and the ability to handle multiple tasks and projects in a fast-paced environment. A successful candidate will have the ability to anticipate needs, maintain confidentiality, and interact with individuals at all organizational levels, including clients, with the utmost professionalism. The ability to multi-task, coordinate complex schedules, and provide equitable support to owners with varying needs and working styles is essential to this position. The ideal candidate for this job is resourceful, organized, and can solve problems while working independently. You will be joining a fantastic team in our beautiful Bloomington, MN office.
- Expert Calendar and Meeting Management: Anticipate and manage complex scheduling, including preparing detailed meeting agendas, setting up virtual meetings (Zoom, Teams etc.).
- Travel Coordination: Manage all aspects of travel logistics, ensuring seamless arrangements for flights, accommodations, transportation, and itineraries.
- Event and Meeting Coordination: Plan and oversee logistics for company events, internal meetings, and off-site gatherings, managing technical meeting logistics such as audiovisual setup, virtual meeting platforms, and troubleshooting issues. Prepare PowerPoint presentations and other materials to ensure seamless execution and professional delivery.
- Meeting Documentation and Follow-up: Attend meetings, capture minutes, track action items, and maintain organized records of discussions and outcomes.
- Financial and Administrative Expertise: Compile and submit weekly expense reports, track billable hours for leadership, and maintain accurate, compliant records in line with company policies.
- High-Level Communication and Collaboration: Serve as a representative of ownership, ensuring clear, professional, and timely communication with internal and external stakeholders.
- Document Preparation and Confidential Records Management: Prepare high-quality presentations, reports, and meeting materials, while organizing and safeguarding sensitive information.
- Leadership Support and Special Projects: Collaborate with leadership on special projects, including research, document creation, resource coordination, and project management.
- Proactive Workflow and Project Management: Efficiently triage, prioritize, and process incoming requests, while proactively managing tasks and project needs to ensure smooth execution, timely follow-up, and successful outcomes.
- Other Responsibilities as Assigned: Adapt to additional responsibilities as required by company needs.
Qualifications
- 5+ years of Executive Assistant experience in a fast-paced and professional environment.
- Exceptional organizational and time-management skills.
- Excellent verbal and written communication skills.
- Team player with ability to work collaboratively and adapt to changing priorities.
- Expert in Microsoft Office applications.
- Ability to complete high quality work independently with minimal guidance.
- Ability to interact effectively with individuals at all organizational levels in a respectful and professional manner.
- Demonstrated critical thinking skills to identify alternative solutions, conclusions or approaches to problems.
- Proactive and resourceful with
a positive attitude. - Ability to maintain an utmost level of confidentiality.

Work Environment/Conditions
- This position is based in the company’s Minneapolis office. Employees in our Minneapolis office are currently working in a hybrid model, spending days in the office and remotely each week.
- Position requires ability to work in a stationary position for majority of workday.
- Ability to lift up to 15 lbs.
- Continuous use of computer.
- Frequent communication with team and clients via zoom and in person.
- This is an exempt position that requires at least 40 hours of work per week but due to the nature of this role, additional hours are required when deadlines need to be met.
- Overnight travel to client sites, conferences or firm meetings is sometimes required (up to 10%).

Compensation and Benefits Annual base salary range of $65,000 to $85,000 based on qualifications and experience.
