CRIS’s Refugee Health and Wellness Program is seeking a dedicated and organized Administrative Assistant to provide essential support to CRIS’s Mental Health Initiatives, including maintenance of new clinic space, ensuring smooth and efficient daily operations.
Full-time, 40 hours/week, competitive hourly wage, medical/dental/vision insurance eligibility and paid time off and paid holidays, flexible spending account (FSA) program, 403b tax-deferred retirement savings option, direct deposit, training opportunities, availability during office hours of Monday-Friday 8:30-4:30 with occasional evening and weekend availability
Please note that this position is scheduled to be funded through 9/29/2025 with a possible extension based on continued community need and the availability of funding.
Job Description
Schedule and coordinate meetings and events across the program, including reserving meeting spaces, managing agendas, arranging presenters, printing/electronically sharing resources, monitoring logistics
Participate in regular team meetings and provide program updates
Schedule and coordinate client therapy appointments, case management appointments, and wellness groups
Schedule and coordinate client transportation and interpretation, as needed
Greet and assist clients as they arrive for appointments
Manage client inquiries
Assist with scheduling staff meetings and other clinic-related events
Manage client waitlist and track active clients
Collect and input pre- and post- assessment data
Collect, compile, and analyze relevant data for grant reporting, including participant attendance, surveys, certificates of completion
Perform general office duties including filing, data entry, and handling of correspondence
Provide information about clinic services and assist with paperwork, as needed
Participate in regular team meetings and provide program updates
Maintain strict confidentiality of client information and adhere to HIPAA guidelines
Ensure compliance with clinic policies and procedures
Maintain client records in electronic health record (EHR) system
Prepare and process forms, reports, and documentation, as needed
Ensure the office environment is clean, organized, and welcoming
Manage office supplies and equipment, including ordering supplies and inventory tracking
Participate in community outreach efforts to raise awareness of mental health resources and services available at CRIS
Demonstrate cultural sensitivity and awareness in all interactions with clients. Stay informed about cultural practices, trauma experiences, and resettlement challenges specific to refugee populations
Engage in ongoing professional development and self-care to maintain personal well-being and high-quality service delivery
Collaborate with student interns in the provision of program services, offering mentorship and guidance
Perform other related duties as assigned to help meet the goals of the program and agency
Minimum of a High School Diploma or GED, bachelor’s or other four-year undergraduate degree preferred
Excellent organizational, multitasking, and time-management skills
Strong interpersonal and intercultural communication
Ability to be self-directed with position responsibilities
Ability to handle sensitive and confidential information with discretion
Advanced skill with Microsoft Office and Google Apps including Google Drive, e-mail, and internet
Possess professional/academic abilities in English across all skill areas including clear pronunciation in speaking and correct grammar and spelling in writing
Participate in a required background check
Valid driver’s license, reliable vehicle, and current automobile insurance with clean driving record and willingness to drive clients
Experience working with diverse populations and limited English-speaking communities
Experience working with an interpreter preferred, but not required
Fluency in a language spoken by the communities served is strongly preferred, but not required
