Position Summary
This position is a part of the Integrated Strategies - Operations team, which sits under the inTulsa Initiative, LLC d/b/a Tulsa For You & Me, but supports all talent and economic development programs. The role will report to the Head of Business Operations.
Tulsa For You and Me seeks an Office Coordinator, responsible for ensuring the smooth operation of the office by managing administrative tasks, coordinating office activities, and providing support to staff. This role involves a variety of tasks including scheduling meetings, managing office supplies, handling correspondence, and supporting office operations. The ideal candidate is highly organized, detail-oriented, and possesses excellent communication skills.
Key Responsibilities:
- Oversee day-to-day office activities, including security procedures such as disarming and arming the building, managing office access, and serving as the primary point of contact for immediate tenant and visitor needs.
- Oversee employee, guest and visitor experience, ensuring a welcoming environment, providing necessary information, and guiding them to appropriate locations within the office.
- Ensure the office environment is clean, organized, and well-maintained by liaising with building management and service providers, and maintaining relationships and maintenance requests with vendors (housekeeping, technicians, mail service, etc).
- Manage the inventory of office supplies, ensure timely ordering and stocking, timely payment of office vendors, and running errands as needed.
- Assist with organizing and coordinating office events, meetings, and activities, including event setup and tear down when necessary.
- Support internal and external communications for the office, including answering and directing phone calls, emails, and other correspondence, and maintaining office records, databases, and filing systems.
- Support office technology needs by submitting tickets, communicating with tech vendors, and assisting with the use of office equipment.
- Other duties as assigned.
KNOWLEDGE EXPERIENCE AND SKILL REQUIREMENTS:
Education & Experience:
- High school diploma or equivalent; associate or bachelor’s degree preferred.
- Proven experience in an administrative or office coordination role.
Skills & Abilities:
- Proficiency in Google Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to multitask and prioritize tasks effectively.
- Detail-oriented with a proactive approach to problem-solving.
- Ability to work independently and as part of a team.
- Customer service-minded, with a strong desire to work with partners to provide responsive, respectful service.
- Ability to exercise sound judgment, maintain confidentiality, and handle sensitive information with discretion.
Physical Requirements:
- Must be able to lift and carry up to 25lbs., for lifting supplies and materials, as needed
- Position continually requires the ability to talk and hear both in person and over the phone.
- Visual acuity; ability to operate equipment, read, and use a keyboard.
- Position requires sitting, or standing, and working with a computer for extended periods of time.
Work Schedule and Location Requirements:
- This is an in-office position in Tulsa, Oklahoma.
- This position operates full-time, Monday - Friday from 8:00 AM to 5:00 PM.
- Ability to occasionally work hours outside of 8:00 AM to 5:00 PM for events.
- Occasional need to utilize personal transportation, must maintain valid driver’s license and auto insurance.
