DUTIES
Ensures the accurate and efficient processing of gifts and related data for The Association of Former Students, maintain the integrity of donor files and provide exceptional customer service to internal and external stakeholders:
- Contributes to an environment of respect, excellence, trust, innovation, selflessness, and professionalism among the Gift Processing team.
- Records charitable contributions and updates demographic information in donor database, ensuring accuracy, efficiency, and consistency of data entry.
- Performs basic clerical duties including answering phone calls, opening and organizing mail, and filing gift documentation.
- Handles inbound and outbound correspondence related to gift processing, donations and membership inquires.
- Research missing information to ensure accurate posting of charitable contributions.
- Develops and implements quality control measures to ensure accurate gift processing and provides routine data integrity checks to resolve discrepancies or errors.
- Balances and reconciles gift totals for daily postings of contributions.
- Protects and enforces the privacy of donor records, including the management, organization, and security of donor files.
- Assists in data cleaning efforts to improve the quality of donor data.
- Ensures compliance with industry standards and best practices.
- Creates and maintains detailed documentation of gift processing procedures and workflows.
- Assists with obtaining updated payment information from constituents with recurring gifts and pledges.
Participates in and provides input on various Association-wide activities:
- Actively contributes toward efforts to achieve our culture, engagement, and fundraising goals.
- Provides on-site event support for Board and Leadership Council meetings.
- Participates on internal event teams and task committees.
- Participates in Association events, including Aggie Muster, Aggie Ring Day, All-Aggie Grad Party, All-Aggie Hullabaloo, Distinguished Alumni Gala, Reunions, Pass It Back Day, Thank an Ag Day, All-Team Meetings, gameday receptions, and others as required.
Serves as an ambassador for The Association:
- Meets our Team Expectations.
- Supports The Association’s marketing, communications, and branding initiatives.
- Fosters relationships with students, former students, faculty, staff, and friends of Texas A&M.

Extensive working knowledge of standard office equipment and software, including Microsoft Excel, Word and Outlook. Ability to speak clearly and to sit or stand at a desk and work on a computer for prolonged periods.

OTHER REQUIREMENTS
Strong commitment to the vision and mission of The Association of Former Students, with the ability and desire to advocate for the organization and Texas A&M University. High energy level, intrinsic motivation, and a strong desire for learning and growth. Basic understanding of proper business etiquette and attire. Outgoing personality with a positive and friendly attitude. Availability to work irregular hours, including evenings and weekends, in support of Association events, and to work paid overtime during peak periods of the year.
EDUCATION, TRAINING & EXPERIENCE
Required: High school diploma or equivalent. 3 years of experience in varied clerical work or similar.
Preferred: Business courses at high school or college level. One year in accounts receivable or cash receipts recognition.
