We are a vibrant, growing parish seeking a full-time Faith Formation Administrative Assistant who is a strong servant leader with the ability to work creatively in a fast-paced environment. The Administrative Assistant will use this position to strengthen and uphold the Pastor’s vision and become an effective member of the Saint William staff. 


Job Summary:

As a key assistant in supporting the Faith Formation Department in all areas of the ministry.


Essential Job Duties:

  • Support and uphold the Gospel values by modeling the teachings of the Catholic Church and the mission of Saint William in both your ministerial/professional and personal life.
  • Support the day-to-day operations of the Faith Formation Department.
  • Attend and prepare all the tasks needed to support the following: faith formation registration, catechist formation day, religious ceremonies like the Easter Vigil or O.C.I.A. rites, retreats, training sessions, R.E. classes in both Spanish and English, Vacation Bible School (VBS) and any other activity as directed. 
  • Streamline communications: Answering, screening, and responding to calls and messages; filing, reviewing, and processing mail/e-mail; drafting and preparing correspondence
  • Record Sacramental information in the sacramental books and database, as well as to ensure that all sacramental records for the department are accurate and up to date.
  • Compose and translate letters in English and Spanish
  • Enter information in the parish database
  • Create forms needed for the Faith Formation Department
  • Other administrative and clerical tasks assigned, including but not limited to coordination and calendaring of events; creating and printing event programs and nametags; printing sacramental certificates and parish notifications.
  • Support basic accounting tasks as assigned (payments, posting, statements, etc.)
  • All other duties, as assigned
  • Pray for 30 minutes a day.


Knowledge, Skills, and Abilities:

  • Ability to provide excellent customer service and work effectively with staff, clergy, religious, and laity. 
  • Prompt and transparent communication with faith formation coordinators and the Director of Evangelization regarding responsibilities/workload, schedule, and progress on assigned tasks.
  • Skilled in operating Microsoft Office software (excel, word, PowerPoint, Teams, Outlook) 
  • Ability to learn other software (Ministry Platform, Canva, etc.) 
  • Ability to proficiently communicate in English and Spanish (conversing).
  • Ability to organize, prioritize, and utilize effective time management techniques.
  • Ability to maintain confidentiality at all times.
  • Ability to carry out multiple tasks and meet deadlines. 
  • Ability to follow instructions furnished in verbal or written format. 
  • Ability to lift 30 pounds. 

Working Conditions:

  • Employees of Saint William are engaged in ministry and closely tied to the Pastor in the exercise of his ministry and obligations to the Church.
  • Saint William is an at-will employer.
  • All buildings and vehicles owned by Saint William are tobacco-free.
  • Working in a fast-paced environment with priorities and plans that may change rapidly.
  • Regular hours on some evenings, weekends, and occasional holidays will be required.
  • Will be exposed to religious ceremonies, conduct, and speech, including Catholic Christian prayer and liturgical celebrations.
  • Will be required to adhere to professional dress codes and conduct standards, including but not limited to EIM standards of conduct in the workplace and outside of the workplace.
  • May be required to use personal vehicles to drive to other parishes or other off-site locations.
  • Traveling within and outside the parish to meetings and other events may be required.
  • Will be required to conform personal and professional activities to be consistent with and supportive of the mission, purpose, and moral teachings of the Roman Catholic Church.
Requirements

 Minimum Qualifications: Education and Training:

  • High School Diploma or GED acceptable to Texas Education Agency.

Experience:

  • Two (2) years of full-time wage-earning related work experience is required

Language: 

  • Read, write, and converse in both English & Spanish

Catholic Requirement:

  • Must be a practicing Roman Catholic in good standing.

Licenses/Certifications:

  • Valid Texas Driver’s license
  • Must be certified in the Diocese of Austin EIM within 60 days of employment and maintain certification throughout the employment period.
