Description

Through our shared values and culture of professional team service, we engage and inspire the Aggie Network to support Texas Aggies and perpetuate the Aggie Spirit. We seek an individual to join a highly motivated team in selflessly advancing The Association of Former Students’ noble mission by managing and coordinating the activities of the Aggie Ring Program and staff, including evaluation of eligibility, ring sales, ring repair and resizing, customer service, and communication and marketing activities. 


The successful candidate will demonstrate skill and devotion toward the development and cultivation of trusted, long-term relationships; serve as a professional ambassador for The Association and Texas A&M University; and exhibit an elevated level of organizational detail to ensure the effective and efficient administration of the Aggie Ring Program.

DUTIES 

Manages all aspects of Aggie Ring orders and deliveries. 

  • Maintains a commitment to premier customer focus in all duties.  
  • Establishes yearly Aggie Ring Program task timeline for Aggie Ring orders and deliveries.  
  • Evaluates academic records to determine Aggie Ring eligibility.  
  • Maintains Aggie Ring order information on website and ROS database.  
  • Mediates and resolves customer service issues.  
  • Oversees all team efforts for Aggie Ring delivery preparation pertaining to Ring distribution, including the shipping of Aggie Rings.  
  • Builds relationships with key campus partners leading to increased awareness of the Aggie Ring Program across all A&M campuses. 
  • Seeks innovative strategies to increase efficiency and customer service. 
  • Ensures compliance with all applicable privacy laws. 
  • Receives customer inquiries in person or via telephone or email and responds or delegates responses appropriately. 
  • Assists in taking Aggie Ring orders, including repairs, as needed. 

Manages The Association of Former Student’s partnership with the Aggie Ring manufacturer. 

  • Establishes yearly order, production, and delivery schedule and details with manufacturer. 
  • Transmits orders to the Aggie Ring manufacturer. 
  • Serves as primary contact to manufacturer regarding quality control, repairs, changes to orders, resolving issues, etc. 

Manages day-to-day operations of the Aggie Ring Program. 

  • Reviews and verifies daily deposits for accuracy. 
  • Recommends and implements improvements to Aggie Ring Program procedures and practices.  
  • Ensures security of office and rings daily. 
  • Maintains inventory for the Aggie Ring office.  
  • Collaborates with the Campus Programs and Communications teams to establish and implement a communications plan related to audit and order dates in each Aggie Ring order cycle. 

Manages the Aggie Ring Office staff. 

  • Assembles, supervises, trains and sets the work schedules for the Aggie Ring Program staff, including full time, part time, seasonal and student workers.  
  • Assists with Aggie Ring office staffing needs outside of normal Association work hours. 

Assists the Director of Campus Programs with managing the Aggie Ring Program budget. 

  • Prepares and oversees the Aggie Ring Program’s annual budget.  
  • Reconciles monthly Aggie Ring order and repair billing.   

Participates in and provides input on various Association-wide activities: 

  • Actively contributes toward efforts to achieve our culture, engagement, and fundraising goals. 
  • Provides on-site event support for Board and Leadership Council meetings. 
  • Participates on internal event teams and task committees. 
  • Participates in Association events, which may include Aggie Muster, Aggie Ring Day, All-Aggie Grad Party, All-Aggie Hullabaloo, Distinguished Alumni Gala, Reunions, Pass It Back Day, Thank an Ag Day, All-Team Meetings, gameday receptions, and others as required. 

Serves as an ambassador for The Association: 

  • Meets our Team Expectations. 
  • Supports The Association’s marketing, communications, and branding initiatives. 
  • Fosters relationships with students, former students, faculty, staff, and friends of Texas A&M.  
  • Attends external events in support of the Vice President for Engagement or on behalf of The Association, as directed.

Requirements

KNOWLEDGE, SKILLS & ABILITIES 

Required:  Sound judgment, professional demeanor and utmost discretion. Extremely detail oriented. Excellent oral and written communication skills, along with exceptional proofreading skills. Ability to prioritize, manage and complete multiple daily tasks with frequent interruptions. Ability to work independently as well as with a high-functioning team in an ever-changing and multi-tasking environment with numerous deadlines. Effective time management skills. Ability to handle multiple projects; flexibility to adjust to rapidly changing situations and problem solving with a positive attitude. Ability to develop long-lasting and professional relationships and interact with students, former students and friends of Texas A&M. Extensive working knowledge of standard office equipment and Microsoft Office software, particularly Excel, Word and Access. Ability to operate a keyboard and 10-key, and regular use of a computer monitor. Ability to help set up for various events, including, but not limited to, setup of tables and chairs. Ability to lift up to 30 pounds on occasion. Ability to stand for long periods of time, and to be comfortable with large crowds. Ability to work effectively with a variety of unique personalities and individuals as well as interact professionally with the diverse Aggie population.

OTHER REQUIREMENTS 

Strong commitment to the mission and vision of The Association of Former Students, with the ability and desire to serve as an advocate for the organization and Texas A&M University. High energy level and intrinsic motivation. Professional attire and behavior. Outgoing personality with a positive and friendly attitude. Occasional travel in support of Association events. Must be available to assist with Aggie Ring Program operations outside of normal business hours to include, but not limited to, prior to every home football game in Kyle Field, between Christmas Day and New Year’s Day when the Clayton W. Williams, Jr. Alumni Center is open, during The Association’s Spring and Fall Leadership Council receptions and meetings, and during Aggieland Saturday, Family Weekend, and commencement on the College Station campus. 


EDUCATION, TRAINING & EXPERIENCE 

Required: Bachelor’s degree or equivalent combination of training and experience. Three years of supervisory experience as well as experience in varied office and customer service-related work, including one year of cashier or cash-handling experience.  

Preferred: Bachelor’s degree from Texas A&M University. Background in Industrial Distribution. Previous training and experience using Student Information Management System.
