Description
The Event Supervisor plays a vital role in ensuring the efficient and effective execution of events at the Edward Dean Museum. Under direct supervision of the Event and Operations Manager, this position involves client communication, managing logistics, coordinating with vendors, and providing on-site event support to guarantee a seamless experience for our clients.
- Lead the planning and execution of EDM events, ensuring each surpasses expectations.
- Manage all administrative tasks related to booking EDM events with precision, including documenting details, preparing essential paperwork, and coordinating the ordering of supplies to guarantee nothing is overlooked.
- Collaborate effectively with the Event and Operations Manager to align event objectives with the museum's mission and strategic goals.
- Thoroughly document all event details and prepare the necessary paperwork, ensuring every aspect is accounted for.
- Partner with outside vendors, clearly communicating event specifics to the Events and Operations Manager.
- Initiate contact with clients immediately after booking their events and cultivate strong relationships through consistent communication.
- Meet with clients planning special events, expertly documenting their requirements.
- Support tasting appointments and skillfully assist clients in crafting their ideal event menus.
- Guide clients in selecting their tabletop designs with confidence during design appointments.
- Assist clients in creating event timelines and floor plans that enhance their vision.
- Conduct engaging venue tours, providing prospective clients with comprehensive information.
- Uphold customer satisfaction by proactively addressing complaints and reporting them to the Events and Operations Manager.
- Ensure strict adherence to county regulations and event contracts.
Requirements
- 5+ years of experience in event planning, catering, or a customer-facing role.
- Organizational and multitasking skills, with the ability to prioritize and manage multiple projects simultaneously.
- Excellent interpersonal and communication skills.
- Detail-oriented and committed to maintaining high standards of quality.
- Flexibility to work weekends, evenings, and holidays as museum operations require.
- Ability to work collaboratively as part of a team.
Salary Description
