Accounts Receivable Specialist (ARS)
Description

This position focuses on our dealings with customers relative to the financial aspects of our relationship with them, with the goal being to “truly know and understand how each customer works.” This includes order processing, invoicing, recognizing payments in our accounting system, placing collections calls, and generally managing our overall Accounts Receivable process and efforts. One of our overall company goals is to be “very easy to work with” but this needs to be balanced with good fiscal controls, so the ARS will need to be able to keep those two priorities in balance over time and with each customer. This person will also need to be cross-trained in the duties of the Accounts Payable/Vendor Relations Specialist so duties can be balanced and backed up when the AP/VRS is either overloaded or off-duty for an extended period. The effectiveness and efficiency of the person assigned this position affects many aspects of the company’s work and will ultimately contribute to the success, or lack thereof, of LightWerks overall.

Requirements

The AR Specialist’s responsibilities will include:

  • Maintaining customer relationships including Accounts Receivable, invoicing, proactive phone/email follow-ups, and collections,
  • Maintaining accounts receivable aging to within company policy,
  • Processing orders from the Sales software into QuickBooks, checking and validating conversion of the data,
  • Reviewing/confirming customer PO’s match the details reflected in our proposal documents (including items, prices, payment terms, shipping addresses, sales taxes, etc.)
  • Preparing several distinct types of invoices including:
  • “Deposit/Milestone billing”,
  • “Revenue billing”,
  • “Progressive billing”, per standard/typical construction industry (i.e., AIA) “Pay Application” processes,
  • “Standard/straightforward (e.g., Net 30) billing”, and 
  • “Credit card billing.”
  • Proactively troubleshooting inventory issues that prevent invoicing, 
  • Reviewing contract language, and terms and conditions to flag troublesome language prior to review by the company’s President,
  • Process payments timely through various online portals,
  • Investigating contract questions and issues/variances,
  • Posting customer payments, applying deposits against invoices,
  • Maintaining active customer and job lists including orders and jobs,
  • Communicating with Project Managers, Logistics and Warehouse Coordinators, and members of other teams to resolve customer issues,
  • Attending necessary meetings and assisting with the completion of action items assigned to your department, 
  • Mastering and maintaining knowledge of the Company’s various software systems. These include Teams, D-Tools, and Basecamp, and other software applications as they are introduced,
  • Undertaking appropriate training to acquire a basic understanding of the audio-visual integration business, including target customer types and applications, vendors, products, systems, and competitors in the territory,
  • Consistently maintaining a positive attitude and performing as a team player on a day-to-day basis, and
  • Regularly contributing ideas, critiques, and input to assist in the continuous improvement of all aspects of LightWerks at all levels.


Requirements: Requirements to be able to perform this job include:


  • A two- or four-year college degree in accounting or related field would be preferred, though not required,
  • Minimum five years of accounting-related AR experience for mid-sized companies in construction, project-related, or related industries,
  • A minimum of “Intermediate” proficiency in working with Microsoft Excel, 
  • Advanced experience with QuickBooks Enterprise (or other accounting where full invoicing and AR are integrated),
  • Experience with D-Tools is a plus, 
  • The ability to work within parameters needed by LightWerks while also being flexible enough to accommodate customers’ needs and desires, if and when possible,

  • Demonstrated and/or tested proficiency in the use of personal computers including such additional programs as MS Word, Access, PowerPoint, and Outlook,
  • Must be able to effectively handle stressful situations,
  • Must be able to read and effectively interpret general business documentation,
  • Employee is required to stand, walk, climb, sit, and use hands and fingers,
  • Reaching, grasping, and carrying activities are also required,
  • Some light lifting of objects is required, and
  • Ability to work within an environment with a moderate noise level.

Salary Description
$28 - $32 hourly
