LAC Federal is seeking an experience Event Support Specialist to play a critical role in assisting in the formulation and execution of visit agendas, sequences of events, and logistical support for a variety of events, including visits from distinguished individuals, commemorative events, and community gatherings for Department of Defense installation.
Responsibilities:
- Assist in the formulation and execution of visit agendas and sequences of events for various occasions, including visits from distinguished individuals, commemorative events marking historic milestones and anniversaries, and engaging community gatherings.
- Provide logistic support for events, including coordination of transportation, multimedia and visual information support, and ensuring accommodations
- Collaborate with event planners, coordinators, and stakeholders to ensure seamless execution of events, including coordinating schedules, managing logistics, and addressing any issues or concerns that may arise.
- Assist in scheduling visits, managing schedules, and coordinating tours for distinguished visitors and guests, ensuring a smooth and memorable experience.
- Utilize MS Outlook and other scheduling tools to manage calendars, schedule appointments, and coordinate event logistics effectively.
- Provide administrative support for event planning activities, including drafting correspondence, preparing materials, and maintaining records and documentation.
- Assist in coordinating vendor services, including catering, audiovisual equipment, and event rentals, to ensure all logistical aspects of events are properly managed and executed.
- Serve as a point of contact for event attendees, guests, and participants, providing assistance, information, and support as needed throughout the duration of events.
- Maintain accurate records and documentation related to event planning and execution, including budgets, contracts, and correspondence.
- Assist in post-event evaluation and analysis, gathering feedback, identifying areas for improvement, and making recommendations for future events.
- Bachelor’s Degree in the hospitality field OR a minimum of two (2) years of experience working events, scheduling visits, managing schedules and tours.
- Experience using MS Outlook and managing calendars, along with proficiency in the MS Office suite (Word, Excel, PowerPoint).
- Strong organizational and multitasking skills, with the ability to manage multiple priorities and deadlines in a fast-paced environment.
- Excellent communication and interpersonal skills, with the ability to work effectively with a diverse range of stakeholders and vendors.
- Attention to detail and problem-solving skills, with the ability to anticipate needs, identify issues, and implement effective solutions.
- Ability to work independently with minimal supervision, as well as collaboratively as part of a team.
- Flexibility to work evenings, weekends, and holidays as required by event schedules.
Physical Requirements
- Ability to sit for long periods of time and to maintain focus on projects such as computer screens or detailed paperwork.
- Occasionally lifting of items weighing up to twenty-five (25) pounds such as files, books, and other materials.
