New Canaan Country School, a Pre-K through Grade 9 co-ed, independent day school, currently serves 555 students from diverse backgrounds living in 21 different surrounding towns/cities in Connecticut and New York. The Auxiliary Program Administrative Assistant is responsible for supporting the daily operations of all Auxiliary Programming which occur beyond the typical school day. This includes the management of registration, attendance, scheduling, communications, facility use and rental of programs, and activities including but not limited to Early Birds, Extended Day, Enrichment, Music Academy, Homework Central, Summer and adult Auxiliary programming. 


This position collaborates closely with the Director of Community Engagement, the Auxiliary Program Daily Assistant, the Summer@Country School Director annually from June through August, and reports to the Auxiliary Program Educational Coordinator. 


Country School seeks to fill this position as soon as possible.


Responsibilities

  • Provide the necessary support for auxiliary program activities throughout the school year, including Plus Program, Saturday Series, Rentals and Summer@CountrySchool programs
  • Liaise with all departments of the school to coordinate and/or implement program, space, technical, health, maintenance, and permit/licensing needs
  • Annually update and maintain Summer@Country School license materials
  • Track and manage program billing and invoicing in collaboration with the business office
  • Rentals: maintain calendar, coverage, and assist with bookings
  • Post and update informational materials for all auxiliary programming
  • Create, maintain and monitor online registration systems including but not limited to daily registration updates and changes
  • Effectively use and assess enrollment and database management systems to generate documents and reports
  • Draft program communications in collaboration with the Auxiliary Program Educational Coordinator
  • Manage logistical communications with families and employees
  • Order, inventory and maintain program supplies
Requirements
  • Bachelor’s degree from an accredited college or university
  • Has a passion and ability to connect with students at the preschool/elementary/middle school age level (3-15 years old)
  • Excellent interpersonal skills
  • Strong communication skills in writing and verbally
  • Proficiency in Excel and GSuite
  • Proficiency with database management systems. Knowledge of CampBrain, SchoolPass, Blackbaud, Square, and Smartwaiver is a plus
