This position maintains the efficient daily operation of SHALVA by performing diverse administrative and clerical tasks. It also serves as the initial and ongoing contact for SHALVA clients who are experiencing domestic abuse and seeking services. Responsiveness, flexibility, strong interpersonal and organizational skills, empathy, compassion, patience, and a commitment to adhering to SHALVA mission, policies, and guidelines is required. This position requires the ability to maintain strict confidentiality and utmost discretion.
This is a full-time, in office position, Monday through Thursday 9-5 and Friday 9-2. The exact office location in the greater Chicago area is confidential but it is an easy commute from most city and suburban locations by car, with onsite parking provided.
Responsibilities
- Serve as the initial point of calm and caring telephone contact for Shalva’s Helpline during business hours
- Using a SHALVA developed intake method, administer client intakes to determine if SHALVA services are appropriate, provide initial support and referral resources
- Schedule and manage appointments for all clients. Connect clients to SHALVA service providers for scheduled appointments and/or services
- Receptionist to visitors and clients at the office
- Respond to client and other stakeholder inquiries via email or phone
- Provide support to administer documents, maintain paper and electronic records, documentation, and files
- Participate in the development or improvement of office systems and processes
- Coordinate maintenance of office equipment
- Maintain a welcoming and neat reception, waiting room, and kitchen areas
- Other related duties as assigned
- Attention to detail, accuracy, and ability to work independently to prioritize and meet deadlines
- Excellent communication skills (written and verbal)
- Advanced Microsoft 365 skills, experience with CRMs preferred
- Two to five years of experience in an administrative role preferred
- College degree preferred
- Must successfully complete the ICDVP 40 hours Domestic Violence training at onboarding

- Prolonged periods sitting at a desk and working on a computer
- Must be able to lift to 15 pounds at times
