Description

Overview – Luminus’ Legal Billing & Intake Specialist is the first point of contact for clients, both in person and over the phone. The ideal candidate will possess a warm and professional demeanor, excellent communication skills in Spanish and English, and a strong background in customer service or sales. Responsible for: screening potential new clients; providing information about the firm's services; collecting and reporting demographic data for Grant compliance; administrative support for the legal team as needed in coordination with the Legal Director. The candidate will also handle billing processes: generating invoices, tracking payments, and following up on overdue accounts in a professional and courteous manner. In addition to the skills above, the Billing & Intake Specialist must be creative and flexible in meeting the needs of clients in today’s political environment and excel as a problem solver, giving specific attention to the protection and confidentiality needs of the immigrants served.

This is a full-time, non-exempt position, in office Monday to Friday 8:45am to 5:15pm, reporting to the Chief Operating Officer. Opportunities for professional growth and development. Competitive salary based on experience. Paid time off and holidays.

Requirements

Responsibilities

·  Greet clients and visitors with a friendly and professional attitude.

·  Answer incoming calls, screen potential new clients, and provide information about our services.

·  Schedule appointments and manage the firm's calendar.

·  Maintain and update client records in our database.

·  Handle billing processes, including generating invoices, tracking payments, and following up on past-due accounts.

·  Contact clients regarding overdue payments in a professional and courteous manner.

·  Assist with administrative tasks as needed to support the legal team.

·  Collect, Track, Report demographics of all interactions for Grant compliance and reporting

·  Other essential support duties as assigned

Requirements

·  Bilingual and fluent in Spanish/English – up to 60% of our clientele are Spanish speaking

·  Previous experience in a receptionist, customer service, bookkeeping, or non-profits position.

·  Familiarity with immigration law or legal office experience is strongly preferred.

·  Excellent verbal and written communication skills.

Ability to think creatively, take initiative, and help implement structures.

·  Strong organizational skills and attention to detail.

·  Ability to meet deadlines.

·  Ability to handle sensitive information with confidentiality and discretion.

·  Proficiency in Microsoft Office Suite (Word, Excel, Outlook) 

·  Knowledge of CRM systems

Compensation: $20.00-$25.00 per hour /40 hours week/ 8:45am-5:15pm
