Scope of Position: We’re looking for a Program Assistant to join our Critical Time Intervention (CTI) Team. In this role, you’ll handle a variety of clerical and administrative tasks to help keep multiple CTI teams running smoothly. Your main responsibilities will include facilitating communication with hospitals, community resources, and staff to ensure everything functions efficiently.
The Critical Time Intervention (CTI) team is a time-limited, evidence-based service designed to support individuals during critical life transitions, promoting community integration, self-advocacy, and long-term stability by connecting individuals with essential resources. In collaboration with hospitals, CTI staff engage with patients in inpatient and emergency settings to assist with discharge planning and ensure access to services such as behavioral health, housing, and benefits.
Essential Position Functions:
- Receive and screen telephone calls and answer program inquiries via phone, email, or mail.
- Provide triage support and direct assistance to program participants as needed.
- As assigned by the Director, assist with the scheduled system of appointment reminders, to help ensure participants receive timely notification of upcoming appointments.
- Perform data entry in the Electronic Health Record.
- Complete and prepare for submission compliance and reporting documentation.
- Run demographic reports and retrieve other program data from databases for reporting purposes.
- Generate program data needed for monthly reports and ensure its accuracy.
- Serve as program petty cash custodian and manage petty cash accounts.
- Assist with program operational coordination as needed.
- Provide specific administrative and program support to other members of the staff as needed.
- Any other duties as assigned.
- Bachelor’s degree preferred, but not required.
- A minimum of 2 years’ experience providing administrative support.
- Experience working with individuals with a behavioral health diagnosis.
- Understanding of the impact of systemic and historical racism on the lives of many of the program participants.
- Excellent communication skills, both verbal and written.
- Bilingual Spanish is highly desired.
- A passion for the mission of a community based behavioral health program.
