Receptionist
Description

Catch Des Moines seeks a dynamic, energetic, and welcoming receptionist with at least two years of experience to join our team. The ideal candidate will be responsible for providing exceptional customer service, managing phone lines, greeting visitors, reviewing the calendar of event submissions, and providing a variety of general administrative support functions. The position is part-time (two days a week from 8:30 a.m. - 5 p.m.) and will job share with another receptionist. 


SUMMARY

Operates multi-line telephone system and receives visitors, determines nature of business, and directs callers to appropriate personnel by performing the following duties.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Answers telephone console and connects caller with appropriate staff person.
  • Takes messages left on voice mailbox and acts upon those messages by either directing them to the appropriate personnel or fulfilling their request.
  • Takes and delivers messages or transfers calls to voicemail when appropriate personnel are unavailable.
  • Answers inquiries and questions from callers requesting information about the Greater Des Moines hotels, attractions, conventions, etc.
  • Receives and enters requests for calendar of event submissions. Sends out calendar information as required to visitors, etc.
  • Greets on-site visitors, determines nature of business, announces visitors to appropriate personnel, and makes visitors feel welcome.
  • Receives and fulfills caller’s requests for vacation, visitor, relocation packets, or student packets. Assemble packets as needed.
  • Fulfills gift card requests from the public and staff.
  • Enters request for visitor information, mail or phone calls into database.   Sends visitor inquiry fulfillment to mailing house as needed.  
  • Picks up incoming mail, sorts, and distributes to appropriate staff member.
  • Serves as backup for shipping and outgoing mail when shipping clerk is not available.
  • Processes and fulfills daily outgoing mail. 
  • Assists the Director of Administration with any special projects or tasks.
  • Assists other staff members with mailings or other projects as approved through the Director of Administration.
  • Assists the Director of Administration in ordering office supplies.

EDUCATION and/or EXPERIENCE: High school diploma plus two years related experience and/or training.


LANGUAGE SKILLS: Ability to read and interpret documents such as operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.


MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all unites of measure, using whole numbers, common fractions, and decimals.


REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.


OTHER SKILLS AND ABILITIES: Ability to operate standard office equipment such as personal computer.
