Administrative Assistant
Description

 East Bay Motorsports is looking for an enthusiastic, knowledgeable, and experienced full-time Administrative Assistant to support our management team, with a primary focus on the Sales Department, followed by the General Manager, Service, and Parts departments.

We represent the following brands in our East Bay location:
Honda, Yamaha, Kawasaki, Suzuki, Sea-Doo, Can-Am, and CF Moto.

We value long-term relationships with our customers and are seeking candidates with a great attitude, outstanding work ethic, and bilingual (Spanish/English) skills.


Qualifications

  • Proficiency in Excel, Word, and general computer literacy required 
  • Bilingual (Spanish) preferred 
  • Organized, detail-oriented, and able to multitask in a fast-paced environment 
  • Comfortable handling confidential information 
  • Problem-solving mindset with willingness to learn new systems and processes 

Key Responsibilities

(Primary focus on Sales support, with additional support to GM, Service, and Parts as needed)

Sales & Administrative Support:

  • Provide administrative support primarily to the Sales Manager and sales team 
  • Answer, screen, and direct incoming phone calls 
  • Track incoming calls using Excel 
  • Greet customers and direct them to the appropriate department 
  • Assist customers in person and over the phone 
  • Learn and support sales and delivery processes; coordinate with delivery driver to ensure timely and accurate deliveries 
  • Maintain CRM system and update customer information in real time 
  • Maintain showroom displays and sales materials 
  • Develop familiarity with product lines 

General Administrative Duties:

  • Perform clerical duties such as filing, photocopying, scanning, and data entry 
  • Organize office processes and maintain accurate records 
  • Support managers across departments as needed (GM, Service, and Parts) 
  • Handle general office requests and assist with day-to-day operations 
  • Operate office equipment including printers, scanners, and fax machines 

Service & Parts Support (as needed):

  • Assist with greeting service customers and scheduling appointments 
  • Provide basic support with service documentation and customer communication 
  • Help coordinate parts orders and track items when needed 
  • Support service team with administrative follow-up tasks
