The Wellness Center Patient Services Specialist oversees patient management, lead conversion, data tracking, compliance, monitoring and financial management. This role also ensures the patient receives the highest level of customer service, care and follow up as well as seamless communication between patient and provider
ESSENTIAL JOB FUNCTION/COMPETENCIES

Responsibilities include but are not limited to:
- Manage patient check-ins, scheduling, and financial transactions, ensuring accuracy and efficiency.
- Coordinate patient flow to optimize appointment scheduling and clinic operations. ? Provide a positive, seamless experience by addressing patient concerns and ensuring satisfaction throughout their visit.
- Actively engage with potential leads through phone and email, providing detailed information about treatments, services, and pricing.
- Guide leads through the appointment booking process, ensuring they feel informed and valued.
- Follow up with leads to convert inquiries into scheduled appointments, supporting business growth.
- Communicate with providers and staff to acquire new leads. ? Supervises Front Office Staff ensuring proper scheduling and Front Desk coverage at all times.
- Works with Front Office Staff to resolve any issues and concerns.
- Ensure compliance with all regulations, particularly when handling controlled substance records and sensitive patient data.
- Maintain accurate and organized records for data tracking, compliance reporting, and operational efficiency.
- Acts as team player: collaborates, communicates clearly, and cooperates with all patients, leaders and fellow coworkers
- . Regularly review and update protocols to ensure adherence to medical standards and regulatory requirements.
- Oversee financial transactions, ensuring accuracy in patient billing and payments, and handling insurance verification and claims when applicable.
- Manage the clinic’s billing processes, including tracking patient payments, issuing invoices, and ensuring timely collections.
- Work closely with leadership to ensure financial performance aligns with budget goals and business objectives.
- Oversee the tracking of clinic inventory to ensure the availability of essential supplies and products.
- Collaborate with the marketing team to support promotional campaigns, patient retention programs, and community outreach efforts.
- Contribute to the development and implementation of strategies that increase clinic visibility and growth.
- Serve as the key point of contact between patients and providers, ensuring that communication is clear, timely, and professional. Foster positive relationships with patients, ensuring their needs are met and they receive the highest level of care. ? Support patient retention by assisting in follow-up communications and addressing post-visit concerns.
- Assist with inventory management for office and patient-facing materials. ? Collaborates with clinic staff including Providers and Management to achieve delivery of excellent patient care.

KNOWLEDGE | SKILLS | ABILITIES
Ability to multitask and maintain professionalism under pressure. ? Strong organizational skills with a proven ability to manage multiple tasks in a fast-paced environment.
High attention to detail, especially in handling patient records, compliance protocols, financial transactions, and inventory tracking. ? Excellent communication skills for engaging with both patients and leads, as well as facilitating smooth interactions between patients and providers.
Ability to multitask and prioritize effectively across various operational responsibilities.
Willingness to learn about both new and established products and procedures within the clinic.
Knowledge of medical aesthetics, sexual wellness, or related industries.
Knowledge of healthcare field and medical office protocols/procedures.
Knowledge of Medical Terminology. ? Skill in using computer programs and applications including Microsoft Office. Knowledge in healthcare systems operations and experience in navigating EMRs.
Ability to answer multiple incoming telephone calls.
Ability to work independently and manage multiple deadlines.
EDUCATION REQUIREMENTS
High School Diploma or equivalent required.
Associates degree or higher, in related field, preferred.
EXPERIENCE REQUIREMENTS
Experience in a medical office, aesthetics, or wellness clinic strongly preferred.
