Description

PRIMARY FUNCTIONS

The Inventory Specialist will be responsible for maintaining accurate inventory records, managing stock levels, and ensuring proper storage and distribution of products. The role involves tracking stock levels, coordinating inventory counts, and working with other departments to fulfill orders and manage stock movement efficiently. Responsible for warehouse data entry and backup of Warehouse Coordinator. Comply with all policies outlined in the employee handbook.

ESSENTIAL FUNCTIONS

Compliance and Safety

  • Ensure inventory is stored and handled in compliance with safety regulations and company policies.
  • Implement best practices for inventory control and order fulfillment processes.

Order Fulfillment

  • Process and fulfill orders accurately, ensuring that products are pulled, packed, and shipped according to customer or production needs.
  • Work with other departments to ensure stock availability and prioritize urgent orders.

Stock Monitoring

  • Track and report on stock levels, product expiration dates, and conditions.
  • Review reports for any discrepancies or inventory issues and investigate causes.
  • Coordinate re-ordering of stock when levels are low and ensure timely replenishment.

Inventory Management

  • Monitor and maintain accurate inventory records using [Inventory Management Software/Systems].
  • Ensure optimal stock levels are maintained to meet business demands.
  • Administer semi-annual and annual physical inventory and reconcile with the inventory system.
  • Evaluate cycle counting process, coordinate acceptance with State Comptroller’s Office, implement and maintain.
  • Assist in receiving, inspecting, and storing incoming goods.
  • Ensure efficient warehouse layout and proper storage conditions for products.
  • Organize and oversee the movement of products to and from storage areas.
  • Input and update inventory transactions into systems (manual or automated).
  • Prepare and submit reports on inventory levels, order status, and discrepancies.

Equipment/Systems

  • Operate a variety of warehouse equipment including forklifts, pallet jacks, hand trucks, dollies, and related equipment; complete daily safety checks and perform minor maintenance service on warehouse equipment
  • Maintain fuel system
  • Manage and maintain inventory records in EAM system

Uniforms

  • Manage field employee uniform programs
  • Review and approve uniform invoices

Other

  • Propose and implement process enhancements or automation initiatives
  • Cover daily responsibilities of other warehouse staff on an as-needed basis to ensure effective daily operations and delivery of services
  • Performs other duties as assigned


Requirements

JOB SPECIFICATIONS: specialized, technical, or practical knowledge, skills, experience, or abilities needed to perform the job. (degrees, certificates, licenses, or other bona fide job qualifications.)

A. GENERAL REQUIREMENTS:

Must meet residential policy requirements and maintain that status as a condition of continued employment

Valid Tennessee Driver’s License and the ability to maintain insurability.


B. EDUCATION AND EXPERIENCE REQUIRED:

Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:

Equivalent to graduation from an accredited four-year college or university with a bachelor's degree in supply chain management, logistics, business administration or a closely related field;

Minimum of five (5) years of warehouse/inventory experience, preferably in a government agency or utility, at least three (3) of which include working in a management / supervisory capacity.

  • Forklift Operation Certification
  • OSHA /TOSHA Safety Standards – Safety Professional
  • General knowledge of standard water and sewer materials

Knowledge of:

  • Sources and types of equipment, products, commodities, and services used by a water utility district.
  • Uses and operations of automated inventory control systems.
  • Principles and practices of sound business communication; correct English usage, including spelling, grammar, and punctuation.
  • Safety policies and safe work practices applicable to the work.
  • Proficiency in inventory management software (e.g., SAP, Oracle, Microsoft Excel).
  • Knowledge of barcode scanners, RFID, and other inventory tracking systems.
  • Internal control and audit principles and practices.


C. REQUIREMENTS:


Knowledge

  • Equivalent to graduation from an accredited four-year college or university with a bachelor's degree in supply chain management, logistics, business administration or a closely related field or a combination of education and experience that provides the applicant with the required knowledge, skills, and abilities will be considered. Relevant experience and education must have a heavy focus in the areas of supply chain management and inventory control techniques.
  • Experience with Enterprise Resource Planning
  • Knowledge of data analysis, inventory management software, and forecasting techniques
  • Strong understanding of procurement principles, practices, and regulations.

Certifications

  • Must have or be able to obtain Forklift Certification
  • Must have or be able to obtain Order Picker Certification

Working Conditions
