The Opportunity


The Gate & Scale House Coordinator is responsible for greeting, announcing and dispatching truck & trailers into and out of the facility. The positions will operate the scale and document incoming and outgoing weights as well as manage associated paperwork. Duties may include using radio, telephone, or computer to transmit information, paperwork and reports on work progress.


What you'll Do


Inbound/Outbound Paperwork Management

  • Collect all necessary endorsement paperwork from drivers
  • Accuracy of Delivery Numbers, Purchase Order & Sales Order
  • Outbound documentation management (CoA, BOL, SDS)
  • Scan & transmit paperwork to the appropriate departments and groups, including Warehouse, Production, and Customer Service

Inbound/Outbound Traffic Flow Communication

  • Proactively monitoring IB/OB delivery schedule and communicating delays or issues to the Planning & Procurement and/or Logistics group as necessary
  • Announce arrivals to production operators and warehouse personnel and provide real-time status updates on the production schedule
  • Manage real-time accuracy of the truck log
  • Dispatch all drivers to the correct location as instructed
  • Professionally work with drivers on a day-to-day basis as the initial onsite contact
  • Communicate company PPE requirements and safety regulations to all visitors entering the facility, including drivers and contractors

Truck Weight Tickets

  • Perform necessary steps to ensure all inbound/outbound trucks are weighed properly, moving trucks through the scale in a timely manner
  • Document incoming and outgoing weights

Scale House Management

  • Manage main gate operation using company phone and Gate App
  • Maintain general cleanliness and stocking supplies in scale house


FLSA Status: Non-Exempt - Hourly

Department: Warehouse

Reports To: Warehouse Manager


Requirements

To Be Successful in This Role

To succeed in this role, you need to be organized, detail-oriented, and able to handle multiple tasks at once. Clear communication with drivers, warehouse staff, and production teams is key. You should be good at keeping paperwork accurate, managing schedules, and solving problems quickly. A professional attitude and a strong focus on safety are also important, along with keeping the scale house running smoothly and maintaining accurate records.



Education & Experience Required

  • High school diploma or general education degree. (GED)
  • Two – four years related experience and/or training.
  • NetSuite or ERP experience, preferred
  • MS Office including Teams & Excel
  • Excellent Communication skills
  • Critical Thinking Skills
  • Proactive, Organized, Analytical
  • Bilingual – fluent in both English and Spanish (written and verbal) a plus.
