Pay Tier: 3

Compensation: $770-$865/week, competitive benefits package including health insurance, dental insurance, voluntary supplemental benefits, 401(k), vacation, sick time, personal time, and paid holidays.

Desired Start Date: July 21, 2025, or as soon as practicable.

About the Hiring Process: Application will be open until position filled. Applications will be screened starting June 10, 2025.

Summary:


The Company Manager is the principal liaison between visiting and resident artists and theater company, directly reporting to the Producing Director to ensure all those involved in a production receive the essential support required to fulfill their contracts. The Company Manager is responsible for coordinating and supporting all applicable travel, lodging, hospitality, and emergency health and wellness needs for all artists each season. They also support celebrating artists at events like opening and closing nights and participate in essential communications to ensure that Trinity Rep receives all that is required from the artists for contracting and marketing purposes. This position works closely with the Producing Director to manage all contract stipulations in accordance with various industry unions (AEA, SDC, USA).


Essential Duties and Responsibilities include, but are not limited to, the following:


Artist Hospitality and Service

  • Coordinate and arrange travel and temporary local housing for guest artists.
  • Manage artist housing: maintain housing calendar, coordinate with outside contractors for cleaning, purchase supplies, submit maintenance requests, etc.Act as first point of contact for guest artists: communicate housing information and policies, contact lists and local information; assist with hotel/apartment check-in and local parking (includes the distribution of keys and parking passes).
  • Schedule and coordinate weekly grocery shopping trips for guest artists.
  • Create and maintain a welcome packet for guest artists.
  • In collaboration with HR, conduct artist onboarding and orientation.
  • Regularly share applicable information from administrative departments with the company.
  • Remain available to artists via telephone for the duration of their engagement.
  • Ensure local hospitality needs (including but not limited to medical appointments, provision of housing accoutrements, access to shopping and gyms) are met in an expeditious and cost-effective manner.
  • Follow up on accident reports and arrange medical appointments as needed.
  • Schedule and coordinate physical therapy sessions for applicable productions under AEA LORT Rule 54(L).
  • Track and maintain departmental budgets for all housing and artist related expenses.
  • Manage agreements with departmental vendors, including (but not limited to) hotels, leasing agents, landlords and travel providers.
  • Ensure reimbursements for housing and travel-related expenses are processed in an accurate and timely manner. 
  • Work with Stage Management teams to ensure that office and hospitality supplies remain well-stocked in rehearsal rooms and green rooms.
  • Maintain housing supplies inventory and equipment.
  • Maintain Equity cots in dressing rooms and launder bedding on a regular basis.
  • Plan and execute closing night parties, company meals, and other miscellaneous production events throughout the season. Work in conjunction with the Development Team to plan and execute Opening Night Toasts.
  • Provide artist transportation as related to their residency, including but not limited to pick-up and drop-off at lodging, weekly grocery store trips, and medical appointments.

Artistic and Production Administration

  • Maintain housing, travel, and hospitality tracking documents for each production in the season. Prepare reports on the status of all the above categories.
  • Ensure necessary production related theater seats are secured during previews and tickets are distributed.
  • Track and reconcile all company management credit card charges and expenses. Submit reports to the Director of Finance and Administration on a monthly basis, or as requested.
  • Assist in distribution and collection of all contracts for actors and production team members, and submit fully executed contracts to applicable industry unions (SDC, AEA, USA).
  • Based on individual artist contracts, create and submit payment requests (purchase order, check requests. Payroll submissions, etc.) to ensure that all contractual payments are issued accurately and when required.
  • Maintain show personnel payment tracking document.
  • Prepare weekly AEA union reports.
  • Work in partnership with the Marketing Department to collect bios and headshots from all artists for playbills and website. 
  • Provide on-site, day-of-show support for artists. Weekly schedule will vary based on the needs of the seasonal production calendar.
  • Along with the Director of People & Culture, be present for the drafting of company community agreements for each show of the season.
  • Advance inclusion, diversity, equity, access, and anti-racism goals in production policies, procedures, and practices. 
  • Act as a liaison between Producing Director and guest artists when necessary.
  • Support Trinity Rep in fostering our core values of Company, Community, and Education and in our work to become an anti-racist institution.

Education and/or Experience:


Three or more years of related experience and/or training in company management, stage management, production management, general management, or hospitality; interest and/or involvement in an arts related enterprise; or equivalent combination of education and experience. Working knowledge of LORT artist contracts and corresponding collective bargaining agreements with AEA, SDC, and USA preferred.


Technical Skills:


Knowledge of theatrical production practices and procedures.


Language Skills:


Must be an excellent communicator with the ability to communicate transparently and effectively across mediums. Strong customer service skills and experience in conflict resolution are preferred. The ability and passion to work inclusively with all ages and diverse populations.


Computer Skills:


MS Office Suite, G Suite, Collaboration Software (Microsoft Teams, Slack), File Sharing Software (Dropbox, One Drive)


Certifications:

  • Valid Driver’s License
