  • Set up new projects in our management and accounting systems, ensuring everything is organized from day one.
  • Create submittal packages, generate purchase orders, and release orders to vendors and subcontractors for materials and labor.
  • Review vendor orders for accuracy and completeness before approval.
  • Manage subcontractor documentation and internal contract review processes.
  • Track project financials, including forecasting, invoicing, and monthly pay applications.
  • Provide timely updates on order progress and scheduling, and communicate changes clearly to all stakeholders.
  • Prepare and submit project closeout documents, including O&M manuals and warranties, while supporting overall profitability and a smooth client experience.

  • You’re highly organized and detail-oriented, with the ability to juggle multiple tasks without letting anything slip through the cracks.
  • You manage your time well, meet deadlines consistently, and stay focused—even when things get busy.
  • You can adapt quickly, solve problems on the fly, and stay calm under pressure.
  • You have experience with billing and invoicing, and understand how to manage project billing to help keep things on track financially.
