Description
George School, a Quaker boarding/day grades 9-12 college preparatory school located in Newtown, Bucks County, PA has an opening for a full time Office Manager. This role will provide administrative support to the Physical Plant department and serve as a liaison between the Physical Plant and campus partners.
Responsibilities
- Review all invoices for the Department and distribute them to appropriate supervisors. Review monthly statements/past due invoices from vendors, contact vendors for missing invoices.
- Track and report trends in high-cost items for the physical plant department such as utility bills (water/sewer, heating oil, electricity)
- Serve as back-up administrator for the work order management system, create & assign user roles, and alert Director and PPD Supervisors, if emergencies arise.
- Manage distribution/track all keys issued to faculty and staff; send billing fees to Business Office as needed.
- Oversee the integrated Pest Management sighting log and enter any pest control requests. Work with technicians to gather information; research pest control issues. Send emails providing information/recommendations to the community.
- Update and distribute the on-campus housing list. Track pets in all residences on campus.
- Act as Search Coordinator for the Physical Plant Department. Distribute resumes, schedule/participate in interviews, send interview confirmations/documentation to candidates, coordinate with Human Resources. Update interview questions and job descriptions as needed.
- Track maintenance, repair costs, registrations, and EZ pass for all campus vehicles.
- Enter vehicle registration information for staff and students; issue and log vehicle decals.
- Serve as GS portal administrator for Environmental Stewardship Oversight Committee, Physical Plant Committee, and Safety Committee, creating layouts for content and updating information.
- Maintain necessary office supplies, uniform orders, and office equipment.
Requirements
- Bachelor's degree preferred.
- Three to five years’ administrative experience required; some bookkeeping experience preferred.
- Proficient in Microsoft office products.
- Possess strong oral, written, organizational and interpersonal skills.
