Central Denver Prestigious mid-rise community is seeking an experienced Community Association Manager
Job Title: Onsite Community Association Manager

Summary: Manages residential luxury high-rise, mid-rise or mixed-use condominium Association property for assigned client.
General Purpose of Job:
Facilitate, advise, educate, and assist the Board of Directors and/or developer, in the daily operation and management of their communities to build compliance and promote the general welfare of the community. Responsible for managing the daily operations of the homeowners’ associations, including concierge services, property maintenance, financial operations, and vendor activity.
Essential Duties and Responsibilities:
o Serve as a positive, professional liaison between Board Members, Service Providers, Owners, Guests, Contractors and Commercial partners.
o Correspond daily within corporate standards & as dictated by the Board Members (return phone calls, emails).
o Create and Conduct New Homeowner Orientation Meetings.
o Work with Corporate Training Manager to create, implement and participate in Board Member training processes and programs.
o Initiate, build and maintain strong and productive client relationships.
o Maintain a strong presence in the community. Ensure concierge and maintenance services meet client expectations.
o Manage the Hammersmith® Management Agreement renewal process.
o Advise Company Director of circumstances that may put the client in an “At Risk” status.
o Respond to Support Departments and Team Members.
o Board Meetings/Management
o Plan, schedule, organize and facilitate Membership and Board meetings of the Association within parameters of the governing documents, in keeping with Company standards and as set by the Board.
o Prepare the Board Packet to be distributed to the Board of Directors seven (7) days prior to Board Meetings, or in accordance with the Declarations. Meeting frequency is set by the Board, and the contents of the packet will be relevant to the topic or type of meeting.
o Draft Minutes from Membership and Board Meetings within seven (7) days following the Meeting.
o Prepare mini packets with a financial summary for distribution to Board Members in the event a Meeting is not scheduled to occur.
o Staff Recruitment/Training/Oversite
o Enlist support from Human Resources per Company policies to recruit, interview, employ, supervise, train, develop, review & discipline onsite personnel.
o Set expectations & performance standards for onsite personnel.
o Supervise daily schedule of onsite maintenance personnel.
o Review and submit accurate timesheets for onsite personnel.
o Property Operations/Maintenance
o Regularly perform site inspections, make maintenance recommendations, and note violations in accordance with the Association’s governing documents.
o Along with the property maintenance staff, create preventative maintenance schedules, and ensure compliance.
o Create and implement plans for risk management; work with the community’s insurer to minimize risk to persons and property.
o Procure bids and administer contracts for all professional, maintenance & utility services under the responsibility and control of the Association.
o Place orders for equipment, tools, materials and supplies necessary to maintain the common areas.
o Implementation and periodic update of a reserve study for the community.
o Synchronize efforts with Construction Services on major projects as set by the Board.
o Assign emergency repairs involving danger to life or property as immediately necessary via Company resources, with Preferred Vendors, and/or with vendors chosen by the Board of Directors.
o Administrative Management:
o Ensure the Association’s insurance policy does not lapse and monitor for proper coverage. Investigate all claims.
o Correspond with Association’s legal counsel regarding general Association matters. Attend court and depositions as needed.
o Partner with Client Services to maintain and update community specific information into Hammersmith’s internal Vantaca data base.
o Financial Reporting:
o Forensic review, coding, tracking & approval of invoices for payment processing in accordance with governing documents & internal AP procedures.
o Review and understand financial statements in detail in order to report and advise the Board of Directors of the Association’s financial status, investment strategies & budget variances.
o Distribute financial reports in a timely manner, and in accordance with the management contract.
o Address financial questions from the Board of Directors and in partnership with the Accounting Manager.
o Review aging reports monthly, reconcile account statuses, coordinate with AR within the Association’s Collection Policy.
o Prepare annual budgets no less than 90 days prior to fiscal year end (unless otherwise specified by the Client Association’s Management Agreement), with delivery to the Board of Directors for review and in compliance with contract stipulations.
Competitive bidding of all service contracts as needed, and prior to budget preparation. Make annual recommendations as to cost savings.
• Must be experienced in policy development and interpretations budgeting, financial management, risk management, human resources, facilities management, maintenance, operations, planning and public relations.
• Demonstrated ability to make decisions, lead people and manage resources.
• Focused on communication and interaction with various personalities and on problem solving.
• Basic understanding of community associations and not-for-profit organizations or have comparable business experience.

Education and/or Experience
• Minimum two (5) year related experience within the property management industry. Previous community association experience preferred.
• Associate degree (A. A.) or equivalent from two-year college preferred.
• CMCA designation required.
• Minimum five (5) years supervision of staff experience required.
