What You’ll Do

Collections & Financial Stewardship

  • Manage collections related to: 
    • Membership fees 
    • Donor pledges 
    • CCAP payments 
    • Grant reimbursements 
  • Monitor accounts receivable and payment trends 
  • Communicate with families, donors, grantors, and agencies 
  • Create payment plans and support solutions for families 
  • Help strengthen the organization’s financial sustainability 

CCAP & Grant Coordination

  • Process CCAP certificates 
  • Track attendance claims and reimbursement timelines 
  • Communicate with CCR&R and funding agencies 
  • Support grant reimbursement submissions 
  • Ensure documentation is accurate and organized 

Systems, Reporting & Operational Excellence

  • Maintain records in: 
    • QuickBooks       
    • Salesforce/MyClubHub       
    • Bill.com       
    • Excel       
  • Prepare collection and reimbursement reports 
  • Identify trends, risks, and process improvements 
  • Support efficient and organized financial operations 

Relationship Building & Communication

  • Support families with professionalism and empathy 
  • Collaborate with Development, Finance, and Compliance teams 
  • Build strong relationships with community partners 
  • Communicate clearly, respectfully, and compassionately 
  • Help create a positive experience for everyone you interact with

Requirements

What We’re Looking For

Qualifications

  • Associate degree in Accounting, Finance, Business Administration, or related field preferred 
  • 3+ years of collections, accounts receivable, or related finance experience 
  • Experience  with: 
    • QuickBooks       
    • Salesforce/MyClubHub       
    • Bill.com       
    • Excel or similar systems 
  • Strong organizational and communication skills 
  • Ability to maintain confidentiality and professionalism 
  • Experience with CCAP or childcare subsidy programs preferred 
  • Bilingual in English and Spanish preferred

Working Conditions

  • Full-time position averaging 40 hours/week 
  • Primarily office-based in South Elgin 
  • Limited remote flexibility as approved 
  • Frequent communication with families, donors, agencies, and staff 
  • Some schedule flexibility may be needed
