Johnson Pope Bokor Ruppel & Burns, LLP is seeking a highly organized and proactive, detail-oriented Legal Practice Coordinator/Project Manager to support the Health Law Practice Group Leader in managing both the administrative aspects of his legal practice and the overall coordination of the department. This role plays a key part in ensuring operational efficiency by providing high-level administrative support, maintaining strong client relationships, and streamlining workflows for a team of attorneys and paralegals.

Position Overview
The ideal candidate will possess strong communication skills, a high level of professionalism, and the ability to anticipate needs, prioritize competing tasks, and build positive relationships with clients, attorneys, and staff. Key Responsibilities:
- Support the Practice Group Leader in all aspects of practice and Health Law Group management, including direct oversight of four attorneys and one paralegal.
- Serve as primary point of contact for client communications; assist in management of daily mail, emails, calls, and document requests in a timely and professional manner.
- Coordinate new and potential client intake and ensure proper documentation and conflict checks are completed.
- Maintain relationships with internal attorneys and staff; respond promptly to inquiries from the team.
- Manage calendaring for the group, including setting reminders, tracking deadlines, and scheduling Zoom, MS Teams, and in-person meetings.
- Maintain and organize electronic client files and internal databases.
- Conduct basic research including entity lookups (Sunbiz), physician profiles, and other regulatory or business information.
- Assist in maintaining bar memberships and CLE tracking for the assigned team.
- Prepare and submit reimbursements, check requests, and invoices through Chrome River.
- Handle confidential medical, sensitive, and client information with professionalism and discretion.
- Assist with transactional closings.
- Submit filings and other documentation to government agencies, health care payors and other third parties.
Essential Knowledge, Skills, and Abilities:
- Proficient in Microsoft Office (Word, Excel, PowerPoint), with the ability to quickly learn other programs. Experience in iManage and Aderant is a plus.
- Excellent communication skills, both written and oral.
- Strong organizational and administrative skills.
- Demonstrated project management skills, including the ability to plan, coordinate, and track multiple projects simultaneously while assisting attorneys in meeting deadlines and maintaining accuracy.
- Attention to detail with strong organizational and time management abilities.
- Client service-oriented with the ability to effectively communicate with clients and team members.
- Ability to multi-task, prioritize tasks, and work under pressure to meet deadlines.
- Ability to work extra hours as needed upon advance notice.
- Self-motivated with a willingness to learn.
Educational/Job Experience Requirements:
- High school diploma from an accredited institution.
- A minimum of five (5) years of experience in a law firm or legal department, preferably in a role supporting high-volume legal project management, law firm or legal practice coordination, or in a senior legal assistant/paralegal capacity.
- Experience with healthcare law, entity formation, or corporate compliance is a plus.
