Virginia Physicians for Women (VPFW) is a growing OB/GYN medical practice with multiple offices across the Richmond metro area and a team of over 45 providers. Our mission is to provide compassionate, patient-centered healthcare while fostering a collaborative, supportive workplace for our staff. As our practice continues to expand, we are looking for a full-time Human Resources Coordinator to join our Human Resources department and support our people-first culture.
 

Position Summary
We are seeking an early-career Human Resources Coordinator with 1–2 years of human resources (HR) experience who thrives in a fast-paced environment and has a passion for recruitment and onboarding. The position will work closely with our small and mighty team, consisting of the Director of Human Resources & Operations, Human Resources Manager, and Human Resources Generalist to support daily HR operations, recruitment, employee onboarding, and orientation programs. This role offers the opportunity to gain broad human resources experience in a healthcare setting and grow within a dynamic and supportive HR team. Position is full time and located onsite at our Koger Center Blvd office in Midlothian, VA!

Key Responsibilities

  • Champion  and foster a positive company culture that reflects the values of VPFW. 
  • Support  full-cycle recruitment for clinical and administrative roles, including posting jobs, sourcing candidates, reviewing resumes, scheduling interviews, and managing candidate communications.
  • Assist with pre-employment processes such as background checks, references, letters, and new hire paperwork.
  • Coordinate new hire onboarding and orientation, ensuring employees are set up for success and feel welcomed into the practice.
  • Track post-orientation new hire workflow by launching 45- and 90- day surveys, scheduling HR check-ins, and coordinating 90-day recognition awards. 
  • Provide general administrative support to the HR team across all areas of HR operations, including recordkeeping, reporting, and compliance documentation.
  • Maintain accurate and confidential employee records in the HRIS (Paylocity) and personnel files.
  • Manage inventory and restocking of practice scrubs, office supplies, and employee badges.
  • Launch and track annual performance reviews to supervisors through the HRIS, ensuring timely completion and follow-up.
  • Ensure compliance with HR policies, procedures, and employment regulations.
  • Support HR team with audits, reporting, and maintaining data accuracy within the HRIS, other systems, and personnel files. 
  • Draft, design, and distribute employee communications including e-newsletters, internal emails, and HR updates related to policies, events, benefits, and programming.
  • Utilize tools such as Canva and Constant Contact to create concise, creative, and engaging content that connects employees across all office locations.
  • Serve as a day-to-day contact for HR needs, addressing requests promptly and redirecting or escalating to HR colleagues as appropriate.
  • Assist with HR projects and initiatives that enhance recruitment, employee engagement, and retention.
  • Regular and predictable attendance.
  • Perform other duties and projects assigned.
     

Qualifications

  • 1–2 years of experience in human resources, talent acquisition, or recruiting in a fast-paced, high-volume setting required. Healthcare experience a plus.
  • Bachelor’s degree in Human Resources, Business Administration, Communications, or related field preferred; or equivalent HR experience. 
  • Demonstrated hands-on experience with HRIS and applicant tracking systems (ATS) required.
  • Strong written and verbal communication skills, with experience drafting grammatically sound and engaging internal communications.
  • Familiarity with MS Office 365 (Outlook, Word, Excel & PowerPoint), Constant Contact, and Canva or similar platforms for administrative responsibilities and employee communications.
  • Excellent organizational skills with the ability to manage multiple priorities and meet deadlines.
