Job Summary:
We are seeking a highly organized and detail-oriented individual to join our team as an HOA/ARC Administrative Assistant. This role provides critical administrative support to the Homeowners Association (HOA) and Architectural Review Committee (ARC), facilitating communication with homeowners, contractors, and new owners while ensuring compliance with community guidelines and architectural standards.
The position requires time both in the office and on-site at active construction areas, so candidates must be comfortable working on the mountain and in the field. As the first point of contact for residents and contractors, the Administrative Assistant plays a key role in fostering a positive community atmosphere and promoting adherence to established rules and regulations.
The ideal candidate will demonstrate exceptional customer service, strong problem-solving and time management skills, and the ability to handle sensitive information with discretion. A proactive approach and attention to detail are essential to ensuring accurate documentation and timely completion of tasks.

Key Responsibilities:
- Serve as the primary point of contact for new homeowners, answering inquiries and providing information regarding HOA and ARC processes.
- Maintained and organized files, records, and databases to ensure efficient information access and compliance with relevant regulations.
- Manage the submission and review process requests, ensuring timely responses to homeowners.
- Develop and maintain spreadsheets and reports to track ARC, community projects, budgets, and compliance issues.
- Support the communication efforts of the HOA, including newsletters, updates, website, and community announcements.
- Coordinate and manage onsite visits with homeowners and the development team, ensuring safety.
Requirements and/or Qualifications:
- Proven experience in administrative support, preferably within a community association or similar environment.
- Excellent written and verbal communication skills, focusing on customer service and owner relations.
- Strong organizational and time management abilities, with impeccable attention to detail.
- Ability to handle confidential information with discretion and integrity.
- Strong problem-solving skills, with the ability to work independently and collaboratively as part of a team.
- Proficient with CRM platforms (HubSpot preferred).
- Proficient with Google Suite (Gmail, Drive, Docs, Sheets, etc)
- Minimum 3 days per week onsite.
