Position Overview:
We are seeking a highly organized and detail-oriented individual to join our team as a Construction Project Administrator. This position supports the Development and Construction (DevCon) team with a variety of administrative and coordination tasks, including document control, contract management, and monthly billings.
Responsibilities include assisting with subcontractor and supplier invoices, ensuring compliance with project documentation and financial requirements. The role also involves managing project setup in Procore, coordinating with contractors to maintain accurate records, tracking invoices, overseeing residential invoicing, and other tasks as assigned by the CDCO.
The position requires time both in the office and on-site at active construction areas, so candidates must be comfortable working on the mountain and in the field.
The ideal candidate will demonstrate exceptional communication and strong problem-solving and time management skills, and the ability to handle sensitive information with discretion. Knowledge of construction industry processes and nomenclature is highly desirable. A proactive approach and attention to detail are essential to ensuring accurate documentation and timely completion of tasks.

Key Responsibilities:
Financial & Contract Management
- Process and track invoices, purchase orders, and subcontracts.
- Ensure project invoices are coded correctly and processed through the workflow approval system in a timely manner.
- Assist in managing project budgets, tracking expenses, and allocating costs to proper budget codes.
- Ensure compliance with contracts and assist in negotiating and processing change orders.
- Track subcontractor insurance, certifications, and other compliance documentation.
Documentation & Compliance
- Manage, file, and organize all project documentation, including plans, reports, change order requests, and vendor submittals.
- Gather and track lien waivers and required backup documentation.
- Maintain accurate records of change orders and update Procore and related systems accordingly.
- File and manage State Construction Registry (SCR) Prelims for each project, ensuring all filings comply with state regulations and project timelines.
- Manage the Admin page in Procore monthly to ensure accurate and up-to-date reporting.
Communication & Coordination
- Facilitate effective communication between project teams, subcontractors, clients, and vendors.
- Participate in project meetings by creating agendas, taking detailed minutes with action items, and distributing updates to stakeholders.
- Provide timely project updates to ensure efficient workflows and accountability across teams.
Administrative & Logistical Support
- Assist with project planning, including schedule creation and progress tracking.
- Manage project correspondence and maintain organized records.
- Coordinate travel and other logistical needs for the DevCon team.
- Help coordinate the bidding process and assist with vendor and subcontractor selection.
Track material purchases, deliveries, and inventory of supplies and PPE equipment.
Requirements and/or Qualifications:
- Associate’s or Bachelor’s degree in Construction Management, Business Administration, or a related field (preferred but not required)
- Minimum of 2 years of administrative experience in the construction industry with strong knowledge of construction workflows and compliance requirements
- Proficiency in Procore project management software
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Suite (Gmail, Drive, Docs, Sheets, etc)
- Strong organizational and time management abilities, with impeccable attention to detail and accuracy, and the ability to manage multiple tasks.
- Excellent communication skills, both written and verbal
- Strong problem-solving skills, with the ability to work independently and collaboratively as part of a team
- Ability to work in a fast-paced environment
- Experience in and around a construction jobsite
- Ability to handle confidential information with discretion and integrity
