The Orthodontic Treatment Coordinator serves as the primary liaison between patients, families, and the orthodontic team in Avon and West Hartford. This role guides patients from their first consultation through the start of treatment and supports them throughout their orthodontic journey. The Coordinator works closely with the Office Managers and the clinical teams to support patient experience, scheduling, and practice growth.
Key Responsibilities
Patient Consultation & Education
- Serve as the main point of contact for new orthodontic patients.
- Explain treatment options, timelines, and the doctor’s recommendations in a clear, supportive way.
- Answer patient and parent questions, involving the doctor as needed.
- Help set realistic expectations and reinforce the benefits of orthodontic care.
Financial Coordination
- Present treatment plans and review associated fees.
- Explain insurance coverage, financial policies, and available payment options.
- Assist with insurance claims and pre-authorizations when needed.
- Convert exams into signed contracts to support production goals.
Scheduling & Coordination
- Schedule exams, observation appointments, and treatment start dates.
- Coordinate with the PDC pediatric team and Oscar Gonzalez general team to ensure seamless interdisciplinary care.
- Communicate treatment decisions to the orthodontist and clinical team.
- Monitor recall lists and follow up with patients who haven’t started treatment.
- Ensure all necessary forms and records are complete.
Case Management & Patient Follow-Up
- Track patient progress in the practice management system.
- Maintain communication with clinical and administrative teams.
- Help resolve patient concerns or complaints professionally.
- Follow up with patients who miss appointments or delay treatment.
- Support communication with referring offices.
Marketing & Practice Growth
- Assist with events such as Invisalign promotions, patient contests, and office marketing activities.
- Partner with office managers and the marketing team on orthodontic outreach.
- Help maintain referral relationships by supporting communications and doctor outreach.
Qualifications
- Experience in orthodontics, dentistry, customer service, or a related field preferred.
- Strong communication and presentation skills, both verbal and written.
- Ability to learn and use orthodontic terminology and procedures.
- Friendly, professional, and patient-focused demeanor.
- Comfortable discussing finances and treatment plans.
- Strong organizational skills and ability to manage multiple priorities.

Position Hours:
- Four clinical days (three days in Avon and one day in West Hartford) and one administrative day
