REPORTS TO:  Director of Finance

COMPENSATION:  $45,000-57,000 1.0 FTE Salaried, Exempt

POSITION DESCRIPTION 

Primary responsibilities consist of financially coordinating a portfolio of agency contracts and private grants by ensuring accuracy of accounting codings, ensuring costs are allowable, completing monthly invoicing in a timely fashion, and adjusting budgets as necessary. All tasks to be performed in accordance with Generally Accepted Accounting Principles and agency policies and procedures.

Requirements

PRIMARY DUTIES AND RESPONSIBILITIES:

Contracts/Grants Coordination

  • Ensure accuracy of contract budget entered into Intacct (Sage accounting software)
  • Ensure expenses coded to specific contracts are correct and allowable
  • Communicate with program (and other) staff managing contracts as needed to ensure accuracy and compliance
  • Generate and submit monthly/quarterly invoices for all contracts within portfolio
  • Work with program managers to review budget and expenditures on a monthly basis
  • Participate in budget modifications as necessary, including adjusting in Intacct Accounting
  • Record all A/R invoices in A/R
  • Reconcile all A/R accounts at month-end
  • Ensure transactions are processed in compliance with both federal GAAP cost principles and agency fiscal policies and procedures

Payroll

  • Assist in the payroll process
  • Ensure that the appropriate Funding Codes and Program Codes Departments are correct and process payroll in a timely manner
  • Record payroll entries and allocation

Budgeting

  • Assist in the development and preparation of the annual agency budget
  • Assist in the development of budgets for new proposals and review budgets upon receipt of corresponding new contract/grant agreements
  • Perform revisions and modifications as necessary and in accordance with funder regulations and agency policies

Support

  • Work collaboratively with agency staff as appropriate to reconcile data and ensure accuracy of financial records
  • Maintain contract files including original documents
  • Provide training and advice on budgeting, accounting, statistical analysis, and reporting
  • Maintain a schedule of contract reporting deadlines to ensure timely preparation and submission of information
  • Assist Development Coordinator in donation tracking

Systems

  • Assess, implement and maintain effective financial/accounting  policies, processes, and internal controls
  • Review financial tracking and reporting systems and advise on potential systems improvements
  • Identify and respond to opportunities to improve systems and processes

 SKILLS, KNOWLEDGE, EDUCATION, AND EXPERIENCE

  • Bachelor’s degree in Accounting, Finance, or similar field (an equivalent combination of education and experience may be an acceptable substitute)
  • Non-profit experience required
  • Prior Grants Management/Coordination experience required
  • Familiarity and/or experience with Sage Intacct Accounting system preferred
  • Demonstrated experience managing financial aspects of Federal, State, County, City and other jurisdictions’ contracts and grants
  • Working knowledge of OMB Circulars A-110, A-122 and A-133.
  • Demonstrated ability to read, analyze and interpret government regulations
  • Ability to effectively present financial information and field questions from managers, staff and funders
  • Three to Five (3-5) years of experience in the Non-Profit sector
  • Three to Five (3-5) years of experience in Financial and Accounting Services, performing similar duties to this Job Description
  • Excellent organizational, planning, and prioritization skills
  • Excellent interpersonal skills to effectively interact with all levels of staff, government, and vendors
  • Communication skills, active listening, verbal and written, including public presentation skills
  • Strong proficiency  in Microsoft Excel
  • Proficient computer skills including;  Web-based research, Word Processing, MS Office, Database use, Email

 ADDITIONAL ADMINISTRATIVE AND PHYSICAL REQUIREMENTS

  • Other duties as assigned by Director of Finance
  • Participate in the preparation of supporting documentation for the annual audit, including A-133
  • Assist in the development, enhancement, implementation, and enforcement of systems and policies and procedures of the organization that will improve the overall operational effectiveness of the organization, promote quality and demonstrate accuracy and thoroughness
  • Understand and adhere to confidentiality
  • Input data, and maintain Agency and/or contractually required information database systems (includes entering data, assisting and/or preparing periodic reports)
  • Work as an active member of departmental team
  • Participate actively in cross-departmental team projects
  • Contribute to fostering a safe and secure environment for community members and staff
  • Evening and weekend availability may be required, and work hours are flexible to accommodate program implementation; long hours during peak periods
  • Undergoing and passing a criminal background check is required
