Position Overview: 

The Sales Experience Coordinator is a key role within the Powder Haven Real Estate team, ensuring an exceptional experience for all prospects visiting the mountain. The Sales Experience Coordinator will act as the primary point of contact for prospects planning their visit, ensuring that every visit is smooth, memorable, and well-managed. This position involves both customer-facing responsibilities and backend operations, from communicating directly with prospects, to managing swag, to coordinating with internal teams, and supporting the Sales Team.

Requirements

Key Responsibilities:

    Prospect Visit Experience

  • Track and manage every aspect of the prospect's buyer journey to ensure an exceptional experience from start to finish.
  • Serve as the primary point of contact for all prospects visiting the mountain, providing assistance before, during, and after the visit.
  • Ensure the sales office is clean, tidy, stocked, and welcoming.
  • Ensure completion of the waiver and other necessary documentation by the prospect.
  • Create a memorable experience for each prospect by addressing their needs and supporting them throughout the visit.
  • Assist with the ordering and maintenance of sales office supplies and materials.
  • Provide input on marketing efforts that support the sales process.

   Prospect Visit Accounting

  • Track and document costs for all swag, gifts, merchandise, and items associated with prospect visits.
  • Document all costs associated with prospect visits
  • Support the collection of payments from prospects
  • Review and reconcile prospect monthly statements with the Finance Team

   Interdepartment Collaboration

  • Work cross-functionally with various departments to ensure smooth and efficient processes related to prospect visits.
  • Ensure all prospect visit requests are handled efficiently. 
  • Hold stakeholder meetings to align internal teams on the buyer experience, tracking, and accounting needs.
  • Take responsibility for the seamless flow and hand-off of tasks related to the buyer journey, ensuring clarity and coordination across departments.

Swag and Merchandise 

  • Collaborate with the merchandise team to plan and order a comprehensive swag offering ahead of each season.
  • Monitor inventory of swag and submit reorders in a timely manner. 
  • Organize, manage, and maintain the inventory of swag, gifts, kits, and marketing materials within the sales office.
  • Ship gifts to prospects at key moments throughout their buyer journey.

Requirements and/or Qualifications

  • Utah Real Estate License
  • 5+ years of customer service or customer relations experience 
  • 2+ years of sales experience
  • Strong organizational skills with excellent attention to detail
  • Exceptional customer service and interpersonal communication skills
  • Ability to multitask and prioritize in a fast paced environment
  • Strong collaboration and teamwork ability
  • Problem solving and critical thinking skills
  • Ability to work collaboratively and foster strong teamwork and interdepartmental relationships.
  • Proficiency in Google Suite
  • Experience with CRM systems
