This position provides high-level administrative and coordination support to the sales lead and broader team, ensuring seamless calendar management, travel logistics, and communication flow. The role requires a proactive, detail oriented individual who thrives in a fast-paced environment and can manage multiple priorities while maintaining professionalism and discretion.
Nature of Services
Calendar & Meeting Management: Coordinate complex scheduling for internal and external meetings, aligning priorities with sales objectives and key deadlines. Prepare agendas and ensure meeting materials are ready in advance to support effective decision-making.
Travel & Logistics: Manage domestic and international travel arrangements, including flights, hotels, and transportation. Prepare detailed travel itineraries and handle last- minute changes with agility and professionalism.
Communication & Correspondence: Draft, review, and send communications on behalf of the sales lead. Prioritize and filter incoming messages and serve as a liaison between the sales lead and internal or external stakeholders.
Sales Support & CRM Coordination: Compile and format sales reports, forecasts, and executive presentations. Maintain and update CRM data and assist with quote approvals, contract processing, and task follow-ups.
Project & Task Management: Track key action items resulting from leadership and team meetings, ensuring follow-through and accountability. Support internal project coordination across sales, marketing, operations, and finance teams.
Event & Meeting Planning: Organize logistics for team offsites, client meetings, webinars, and conferences. Ensure smooth execution of in-person and virtual events, including coordination of venues, materials, and attendee communications.
Document & Presentation Preparation: Create professional-grade sales decks, summaries, and crackers tailored for executive review. Maintain a centralized repository of up-to-date sales materials, templates, and documents.
Confidential Administrative Support: Handle sensitive information such as compensation plans, strategic initiatives, and headcount data with discretion. Manage expense submissions, reimbursements, and vendor invoices in a timely manner.
Relationship Management: Build and maintain positive relationships with key customers, partners, and internal collaborators. Act as a polished and reliable extension of the sales lead in all professional interactions
Sales Team Support: Support onboarding and training coordination for new sales team members. Assist with territory planning and organizational alignment activities as needed. Training Support: Support the coordination and execution of training efforts as needed.
Industry experience highly desired.
